Executive Assistant – Development Department

National Headquarters - Memphis, Tennessee

This position provides administrative support to the NHQ- Development Leaders. It also serves as a key member of the Executive Assistant team at National Headquarters that works together to provide executive, administrative, and operational support to all members of the development team. This person is a primary point of contact for coordinating information requests, preparing correspondence, receiving visitors, arranging meetings, conference calls and travel arrangements, and other duties as assigned.

Duties and Responsibilities:

Works directly with the Human Resources and Legal departments to assist in implementing certain employee programs and activities.

Maintains calendars, schedules appointments, arranges travel, drafts, and prepares correspondence, answers, and directs incoming calls, coordinates bill payments, prepares expense reports and credit card statements as well as assists with day-to-day operations.

Prepares reports, correspondences, presentations, and other communications, as needed.

Provides backup coverage and support for other executive staff, as required.

Other administrative duties as assigned.

Qualifications:

Applicants must have at least five years of relevant experience as an Administrative/Executive Assistant, Project/Program Coordinator, or similar position in a medium-sized or large organization, and have excellent interpersonal, oral, and written communication skills. A high school diploma is required, an Associates’s or Bachelors’ degree is an advantage. The ideal candidate should be detail-oriented, self-motivated, have excellent organizational skills, exceptional judgment, discretion, and confidentiality, and be able to work independently as well as in a team environment. Strong computer skills including Microsoft Office Suite are required. Must be willing to work occasionally after hours or on weekends.

Reporting and Location: This position reports to the Chief Development Officer and works from the national headquarters in Memphis, TN. Candidates must be willing to work hours that extend outside of the typical workday and workweek throughout the year.
