Job Summary
The administrative assistant will ensure that all is running efficiently in the office. This includes answering calls, greeting guests, planning travel and events, and taking care of the day-to-day for the office and senior leadership team.
Essential Job Functions
Provide administrative and organizational support to senior leadership team
Assist in preparing PowerPoint, Excel, and other Microsoft suite documents
Manage select travel arrangements, both domestically and internationally, creating detailed itineraries when necessary
Effectively manage the reception area, greeting guests with professionalism, issuing badges, and directing them appropriately
Order lunches for meetings and organize select employee events
Handle incoming and outgoing correspondence, including mail, email, and phone calls
Assist with clerical duties such as scanning, fling, data entry, report preparation, presentations, and written correspondence, including those of a confidential nature
Maintain conference rooms and break areas
Manage relationships with third party vendors such as vending and uniform providers
Maintain office supplies and equipment inventory
Prepare new hire packages, benefit information, take employee photos, issue badges, and assist in other departmental related tasks
Additional duties as assigned
Requirements
Must be able to maintain confidentiality
Must be organized with strong attention to detail
Strong written and verbal communication skills
Knowledge of Power BI a plus
Intermediate level of computer skills in Microsoft suite of products, including, Word, Excel, PowerPoint, and Outlook
Ability to write and speak effectively with employees at all levels within the organization
Education and Experience
High School diploma
Minimum 5 years in an administrative role
