Job Description

Position Responsibilities: Office Administrator is responsible not only for the smooth running of the office but also for maintaining a positive working relationship with other staff members.

OFFICE MANAGEMENT AND OPERATION:

● Manages routine office functions, including the maintenance of all central files and records and the ordering of supplies; Communications (Mail, Telephone, Email, Documents)

● Receives, opens, date stamps and distributes all incoming mail except items addressed to a specific person;

● Possesses operational knowledge of PC software package Microsoft Office and Google Suite.

● Possesses and exhibits excellent interpersonal skills; demonstrates calm, mature, responsible demeanor during periods of stress or high demand performance. Demonstrates clear, responsible, and succinct communication skills, both written and verbal, pleasant telephone skills; extends welcome and/or assistance to all office visitors.

● Reports to work on time and works on a schedule as required, demonstrates a well-organized office management style; possesses ability to respond flexibly in meeting unscheduled priorities. Meets deadlines consistently without reminder from supervisor.

● Able to accomplish office responsibilities without the need for immediate supervision; demonstrates self-reliant, reliable, productive, efficient, and proficient skills in office organization, filing, document reproduction and distribution, telephone etiquette, PC file structure, and other associated assignments related to this position.

● Possesses practical knowledge of office management: filing procedures, document coordination, communiqué transmission, ordering of supplies, event scheduling, document production, and/or telephone use.

● Maintains appropriate appearance. Supervision Provided:

● Employee works under the supervision of the Senior Supervisor provides work priorities, schedules, corrective direction, standards of acceptable and expected work produced, and overall responses to employee’s questions.
