SUMMARY: Under direct supervision of the Director of IT and Administrative Services provides high-level clerical support to the Director and supports the departments of the IT and Administrative Services Division. Performs a variety of secretarial duties and skilled tasks that include preparing reports, conducting research, and collecting data.

SALARY RANGE:

$67,704.00 - $100,029.49 annually

SIGN-ON BONUS!

$250 sign-on bonus after the completion of 90 days of employment at IRC with work performance in good standing.

$500 sign-on bonus after the completion of 6 months of employment at IRC with work performance in good standing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provides high-level administrative support to the director in support of the departments of the IT and Administrative Services division.

Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested.

Arrange appointments and meetings and notify participants of time and place. Reserve conference rooms for meetings. Arrange travel and hotel accommodation as necessary.

Gather and summarize data, research, and solicit information for administrative decisions. Request data, information, and materials from outside sources.

Prepares agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested.

Responds to and resolves administrative inquiries and questions.

Answers and transfers phone calls, and screens when necessary.

Performs other general clerical and secretarial duties as requested which may include recordkeeping, maintaining office supplies, and handling correspondence.

Abide by strict confidentiality requirements of IRC clients, staff, and operational data.

Demonstrable literacy of modern computer systems and software platforms.

Use office equipment appropriately and keep it in good repair. Keep work area neat and orderly. Observe all safety rules.

Work cooperatively and effectively with others. Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.

Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.

Maintain good attendance and punctuality.

Good verbal and written communication skills.

Keep manager informed of pending work, work in progress and problems encountered.

Utilize agency's IT systems as assigned, maintaining security and following agency's protocol and procedures, rules, and requirements.

Attend training sessions as required.

Comply with and ensure program compliance with agency's Personnel Policies and Procedures.

Perform different or additional work as assigned.

MINIMUM POSITION REQUIREMENTS

High school diploma or equivalent.

Four years of increasingly responsible secretarial experience.

Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.

Exceptional communication skills.

Ability to work independently and reliably.

Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department.

Full use of an automobile, possession of a valid California driver's license and automobile liability insurance for the minimum amount prescribed by law, or the ability to provide independent transportation. Must have and maintain a safe driving record.
