Description:

As a Senior Administrative Assistant, you will play a pivotal role in ensuring the smooth operation of the office by managing schedules, coordinating appointments, and supporting the administrative needs of the team. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment. The ideal candidate will be proactive, resourceful, and possess strong communication skills.

Location: Sacramento, CA

Pay Rate: $25.00-30.00 hourly

Schedule: Monday through Friday 8am-5pm

Responsibilities:

Coordinate and manage calendars for multiple executives, including scheduling meetings, appointments, and conference calls.

Arrange and confirm appointments with clients, vendors, and other stakeholders, ensuring all parties are informed of changes and updates.

Handle all aspects of travel planning, including booking flights, accommodations, and transportation for executives and staff as needed.

Attend meetings to take notes and assist with follow-up tasks as required.

Serve as a primary point of contact for internal and external communications, including phone calls, emails, and correspondence. Screen and prioritize incoming messages and inquiries.

Organize and maintain electronic and paper files, including confidential documents and sensitive information. Assist with document preparation, editing, and formatting as needed.

Identify and resolve scheduling conflicts, logistical challenges, and other issues that may arise in a timely and efficient manner.

Qualifications:

Minimum of 3-5 years of administrative experience, with a focus on scheduling and calendar management.

Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.

Strong written and verbal communication skills, with a professional and courteous demeanor.

Meticulous attention to detail and accuracy, especially when dealing with sensitive information and complex schedules.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software (e.g., Microsoft Outlook, Google Calendar).
