Primary Purpose: Receives, processes, and maintains files and records for new hires and employees of the district. Monitors access to human resource (HR) records and maintain proper security and confidentiality.
Education/Certification:
High school Diploma or equivalent
Certified Educational Office Professional certification (CEOP) preferred
Bilingual preferred
Experience:
Minimum of three (3) years of experience clerical and file maintenance experience in a public school setting
Demonstrated experience with the use of databases like Oracle, preferred
Special Knowledge/Skills/Abilities:
Proficiency in keyboarding and file maintenance
Ability to use software to develop spreadsheets, databases, and Microsoft Office Suite
Ability to perform basic math
Ability to read, speak and understand English
Excellent organizational skills
Strong communication and interpersonal skills
Must possess highly effective and pleasant telephone skills in order to communicate with staff and the public in a positive and professional manner
Must be able to positively interact with all levels of school employees and to work positively and cooperatively with co-workers
Must be able to positively represent the school district
Must exhibit the ability to handle confidential and sensitive information with good judgment
Must possess general clerical skills
Must exhibit initiative in performing routine office functions
Must be able to handle a heavy workload in a fast-paced office with critical deadlines

Must be flexible and adaptable under pressure Major Responsibilities and Duties:
File Management
Maintain files for all employees per TEA and district guidelines, e.g., position, pay grade, salary, and contracts.
Execute all actions of the onboarding process and employee personnel changes.
Process requests for official district records, including retrieving documents, copying, and mailing records
Enter and update employee information in the central database.
Respond to requests for verification of employment
Administer the records storage and destruction process of personnel records following established.
Records retention schedule and requirements of the Texas State Library and Archives Commission.
Records, Reports, and Correspondence
Prepare correspondence, forms, and reports according to district standards and requirements.
Initiating all records for new employees and working with each person.
Initiating and maintaining all records/forms for certification.
Maintain and review all transcripts, service records, and other required personnel records and forms for each employee.
Maintaining all computer data for personnel records and PEIMS on each employee.
Assist Human Resources Administrator if needed. Other
Maintain confidentiality.
Assist and relieve the Human Resources receptionist if needed.
