Job Title: Operations and Procurement Manager

Reports to: Vice President of Operations

Status: Full-time (hours may vary) 9am-5pm

FLSA Classification: Exempt

Job Location: Main Office – New York, NY

Salary Range: $60,000 - $75,000

Objective:

We are seeking an experienced Operations and Procurement Specialist for our Main Office and Supportive Housing Residences; A successful candidate will possess intellectual capacities such as: understanding facilities maintenance standards, understanding supportive housing/shelter buildings, safety requirements, and basic understanding of project management and logistics, in addition to having the ability to multitask; work on multiple projects simultaneously to meet organizational objectives and prioritize projects in a timely manner. The successful candidate understands organizational goals and prioritizes accordingly

Candidate must have prior experience in operations, and facilities. Works with supervisor and procurement team to source vendors and assist with the development of contractual and other vendor procurement agreements. Collaborate with LCS Program management and property management to maintain safety protocols, schedule routine maintenance, plan new projects, and follow-up and schedule repairs, assess the cost of maintaining workspaces, make recommendations for becoming more efficient and may assist in relocating businesses to a new office space that better meets their needs, able to be flexible and responsive to changing organizational priorities and needs.

Exercises sound professional judgment in allocating and prioritizing individual’s and organizational resources.

In conjunction with, and under the direction of VP of Operations, assist with project planning, assessment, and implementation including but not limited to sourcing vendors, developing bid proposals, developing metrics to assess bids and summarize findings, coordinating logistics, collaborating with internal and external stakeholders, and executing required tasks through project completion.

Work with LCS Senior Leadership and Programs Leadership to assess, monitor, track, and ensure all sites have necessary safety equipment in good working order, emergency preparedness plans, and overall safety measures.

Manage the LCS Helpdesk, coordinate with Programs and Property Management, and ensure work is completed and tickets closed out in a timely manner.

Facilitate various meetings between LCS and Property Management including invites, agendas, and meeting minutes.

Assist Main Office and Programs with projects as they arise including but not limited to sourcing vendors, getting bids, creating Purchase Orders, arranging schedules, and acting as on-site point person for delivery and set up.

Create and share reports on maintenance, repairs, safety and other occurrences for supervisors, executive team, and other relevant staff.

Visit and work on-site at various LCS locations as needed to perform tasks that are site-based.

Performs other duties as assigned.

Required Education, Skills, and Experience:

Bachelor’s degree required, related qualification such as project management or business management preferred.

Excellent communication and interpersonal skills, including the ability to speak with all levels of employees.

Great time management, organizational and prioritization abilities.

Knowledge of health, safety, and environmental regulations.

Experience with logistics and steps related to project management.

Able to present materials in an organized, detailed, and comprehensive fashion.

Ability to meet deadlines and develop and adhere to project timelines.

Strong computer and systems knowledge.

Collaborative team player able to develop and maintain relations with both internal and external stakeholders.

Work Environment: This job operates in an office environment. There will be frequent travel to the supportive housing sites as well as to other locations throughout New York City as needed.

Physical Demands: While performing the duties of this job, the employee is regularly required to stand, walk, sit, stoop, climb stairs and/ or kneel. Occasionally the employee will have to lift and/or move up to 10 pounds.
