Our client, a health-related medical association located in Bethesda, MD is looking to hire a Sr. Administrative Assistant for their national medical council operations. This is a pivotal position, managing the interaction between several stakeholders in preparation for their annual conference and other critical meetings throughout the year. This role is responsible for working with the team to help secure more sponsorships and projects for their annual conference and other health-related events. Another key part of the position is managing the council’s part of the annual conference.

Responsibilities:

Coordinate educational programming for the conference, working with physician leadership, internal staff and other stakeholders.

Manage Council procedures, governance, and elections processes.

Assist with quality check on internal and external reports, meeting agenda items and database management.

Manage the submission and review process for educational materials including communication to reviewers, Council, authors, and staff.

Manage development of invited speaker sessions and oral/poster sessions.

Manage the invitation, response, housing arrangements and travel, confirmation, and honoraria and disclosures, for speakers and moderators for the council’s conference attendees.

Develop agenda items and supporting materials for Council meetings; document meeting proceedings; draft minutes; and follow-up on action items.

Attend two association Council meetings annually and oversee the conflict-of-interest review process for annual conferences.

Submit appropriate CME applications.

Coordinate with marketing and communications departments for content and format of annual conference promotional materials.

Assist with the design and testing of online user interfaces for various target audiences.

Qualifications:

Bachelor’s degree or equivalent experience required.

At least three years relevant work experience in non-profit association and/or committee meeting planning required; technical/scientific research program administration preferred

Extensive knowledge of Microsoft programs and database management

Budget administration experience

Excellent attention to detail and a quick learner.

Availability to travel required.

Superior writing and communication skills

Problem solving, teamwork, and leadership ability
