Job Description:

Summary:

This position provides day-to-day support to aid the Washington Semester Program. The Program Assistant carries out a wide range of functions to support outreach, communications, and records management for the Washington Semester DC Internship Program.

The Washington Semester Program, a 77-year-old undergraduate study abroad program, invites students from partner universities from around to world to intern in Washington, DC via American University. Alongside internships, students engage in immersive courses, networking with decision makers at DC's leading organizations. Earned credits transfer to their home universities, and career readiness training helps them land their internships and prepares them for post-graduation employment.

Essential Functions:

List and Records Management:

Maintain consistent data in spreadsheets that serve as our partner contact database.

Understand spreadsheet keeping logic and and teach team members to comply.

Communicate changes to colleagues using the data.

Research:

Research partner contact information through university websites in order to keep complete and updated data. This includes maintaining and updating prospective and current partner contacts including their names, phone numbers and addresses.

Research data on targeted partner university prospects including university tuition, discount rates, political science departments, international affairs departments, and study abroad offices.

Customer Service:

Call prospective partners to gauge interest in partnering with the Washington Semester Program.

Position Type/Expected Hours of Work

The position reports to the Washington Semester Program Marketing and Operations Assistant Director. They will also work with different team members in the Washington Semester Program.

The position requires 15 to 20 hours per week starting in June 2024.

We offer hybrid work modality. After an initial in-person orientation period, some of the position’s duties can be performed remotely and during non-business hours. A minimum of 4 hours a week in-person is required at American University’s 4801 Massachusetts Avenue campus.

Salary Range:

The position salary is $17.50/hour.

Eligibility Qualifications:

Professional experience in a professional setting.

Familiarity with Excel and willingness to learn.

Tech savvy individual who is excited to learn new database skills.

Detail oriented and organized.

Good written and verbal communication skills.

The ability to work both independently and collaboratively.

Preferred Qualifications:

Proficiency in creating V-Lookup Tables and joining spreadsheets in Microsoft Excel.

Familiarity with creating and utilizing pivot tables for data analysis.

Strong analytical skills.
