JOB PURPOSE

Responsible for providing administrative, operational, sales and marketing support for a branch location; performs a variety of advanced duties while relieving the Market Leader of selected business detail and administrative work.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative / Operations

Exercises the greatest degree of discretion in the handling and dissemination of confidential and highly sensitive information.

Coordinates the manager's schedule and calendar (also others as needed); screen manager's telephone calls including confidential inquiries; facilitates conference calls.

Arranges detailed travel plans, reservations, schedules and itineraries; compiles documents for travel-related meetings; prepares expense reports.

Coordinates and arranges branch/department meetings; prepares agendas, meeting materials; may record and transcribe meeting minutes.

Arranges programs, special events, conferences or webinars; contracts facility and caterer as needed, issuing information or invitations, coordinating speakers and controlling budget; ensures project specifics are executed on schedule and within prescribed budget.

Initiates and/or assists in projects utilizing MS Office Suite including Word, Excel and PowerPoint; word processes and distributes outgoing correspondence including branch communications, memos, email and faxes.

Operates a personal computer to input and retrieve data; operates office machines such as a copier and calculator; performs printing, photocopying, data assembly and binding.

Organizes and maintains file system and archives; files correspondence and other records; makes copies of correspondence or other printed materials.

Sorts, prioritizes and distributes incoming mail; locates and attaches appropriate file to correspondence to be answered by manager; prepares overnight shipping packages.

Submits invoices to Oswald accounts payable for processing; resolves any billing issues.

Schedules and oversees branch facility maintenance and repairs; coordinates physical office projects, maintains office supplies and equipment, purchases food items.

Serves as Oswald Companies' new Employee-Owner "Onboarding Ambassador" for the branch office; coordinates small group staff meetings with manager to improve branch communications.

Coordinates company-sponsored "Days of Caring" with a variety of charitable organizations; schedules quarterly volunteer opportunities and the collection of funds and/or donated items.

Acts as project manager on special assignment as needed, which may include planning and coordinating multiple presentations, disseminating information and organizing branch events.

Serves as back up to the Receptionist, performing all related duties; greets scheduled visitors and accompanies the individual to the appropriate person or area.

Sales Support / Business Development

Manages SIP (Sales in Process) spreadsheets to track all market prospects and suspects; provides a weekly update report and tracks all closed sales.

Creates prospective leads list and accounts to follow through LinkedIn Navigator.

Serves as the branch's CRM point person; addresses questions, trains staff, performs data entry/management including contact information, meeting notes, follow-up actions and reports; creates and maintains database information and spreadsheet files.

Compiles Business Profile Reports for all market producers; obtains and assembles prospect information, conducts research, prepares summaries and reports as needed.

Supports the preparation of RFPs and client presentations; proofreads and edits proposals as requested.

Obtains and ships gifts to existing clients and new prospects for congratulatory events.

May provide direct assistance to clients of Oswald Companies or carriers/service providers seeking information or adjustments in support of account needs.

Marketing Communications / Media

Orchestrates all aspects of branch marketing/networking special events; coordinates graphic design and media placement activities with the corporate Marketing Communications & Media Department.

Meets with the media representatives of various organizations, publications and/or radio stations to identify potential marketing opportunities or to generate ideas for creative, low-cost promotional alternatives.

Utilizes social media to establish an online-presence for the branch; posts photos and captions on LinkedIn at the Market Leader's request; authors, ghostwrites, edits blogs, white papers, press releases, etc.

Completes applications, submits essays and coordinates the survey process to nominate Oswald Companies for market top workplace and other branch awards.

Originates and coordinates internal events to support and promote office culture and/or to raise money for charitable causes.

Coordinates external charitable activities and sponsorships in support of client, non-profit, community and civic organizations.

Tracks branch marketing expenses to ensure adherence to the corporate budget.

Solicits branch-generated articles; submits photos and captions for use in Oswald Headlines, postings on social media or inclusion in the monthly digital newsletter.

Registers staff to attend trade shows; works with the corporate marketing team to obtain promotional items; contacts vendors directly to order branch-specific products.

3-7 or more of related experience or the equivalent combination of education and experience.

Prior Experience Specifically Required

Demonstrated experience supporting a senior-level business manager or team required.

Demonstrated experience holding a multi-tasking position required.
