Job Summary: This position entails administrative, analytical, and technical responsibilities concerning the maintenance, repair, acquisition, upfitting, and disposal of combined fleets and equipment (Central, Transit, Fire, VanGo, and Motor Pool) for the City of Greeley.

Additionally, it serves as the backup for the fleet management information system (FMIS), on-site fueling system software, and fleet fuel card management.

Monthly inventory reporting, auditing, and fuel accounting reports are also part of this role.

Providing training, technical and administrative support, and customer service for customers using the City of Greeley Fleet Services Division is another key aspect.

Collaborating with foremen to schedule repairs and services, ensuring completion of work, and working with vendors on ordering and upfitting new vehicles/equipment are essential responsibilities.

Experience, Knowledge, Skills: Minimum Requirements * High School Diploma or equivalent.

* Three (3) - five (5) years of increasingly responsible experience in equipment and vehicle operations administration with Veeder-Root fuel software knowledge.

* Completion of a specialized training or certification program in the automotive field or related experience dealing with automotive equipment parts, repair, and inventory for 1 year or more.

* Class C Underground Storage Fuel Tank Operator's license required or able to obtain within 3 months of employment.

* Valid Colorado driver's license and acceptable driving record.

Knowledge, Skills, and Abilities * Clear and concise communication skills, both verbal and written.

* Strong organizational skills and ability to manage competing priorities with inflexible deadlines.

* Ability to make decisions in accordance with laws, regulations, and policies.

* Knowledge of applicable federal, state, and local laws, rules, and regulations pertaining to local government and fleet operations.

* Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint; ability to analyze data and prepare reports.

* Ability to work independently under minimal supervision.

* Knowledge of research techniques, statistical, and presentation methods.

* Knowledge of automotive nomenclature and basic accounting principles.

* Ability to apply sound reasoning and experience to determine how to accomplish tasks while adhering to professional standards, available resources, and program objectives.

* Attention to detail to ensure vehicle/equipment orders and upfit meet customers' needs, are accurate, and adhere to fleet policies, procedures, and practices.

Essential Functions: * Monitor vehicle and equipment request forms, process requests, coordinate ordering and upfitting with vendors, in-service coordination, fuel cards, keys, and transport vehicles.

* Coordinate with Administrative Specialist on vehicle/equipment purchase and upfit requisitions/POs.

* Manage SharePoint vehicle/equipment ordering process & status page.

* Facilitate vehicle/equipment disposal/auction process and titles sales.

* Collaborate with foremen and vendors on upfitting and post-delivery inspections (PDI). * Collaborate with foremen and fleet specialist on monthly inventory reconciliation, parts purchase, and stocking.

* Manage fleet management information systems Parts and Fluids Inventory by garage.

* Assist in stocking parts and maintain CoG owned tools inventory.

* Collaborate with other departments on vehicle needs and upfits.

* Fleet disposal of vehicles/equipment and titles management.

* Backup for various duties including monitoring fuel sites, reconciling and analyzing fuel transactions, and maintaining records per regulations.

* Primary contact for new vehicle and equipment vendors, ensure vendor performance, and inform fleet manager.

* Maintain tracking of vehicle inventory for fleet forecasting models.

* Compile and analyze reports for standard operating procedures, annual budgets, equipment replacement schedules, and performance measures.

* Provide administrative support to the Fleet Services Division.

* Provide support for Colorado's Regulation 29 and reporting requirements.

* Utilize various tools and software to perform duties effectively.

Work Environment and Physical Requirements: WORK ENVIRONMENT: * May require standing for extended periods of time in a vehicle repair shop or extended time at a desk/computer.

* Workday may vary between relatively quiet periods and extremely busy times.

* Workdays may be divided between time in the shop, time at vendors, and time in the office.

* Exposure to fumes, hot and cold temperatures, adverse weather, extreme noise levels.

* Frequent and inflexible deadlines.

* Frequent document reading, problem solving, and need for confidentiality.

* May be asked to drive personal vehicle for business purposes.

* Subject to driving City vehicle in all weather conditions.

* May be required to conduct business in alternate locations within City buildings or field sites; sometimes in formal settings.

* Requires ability to perform multiple tasks at one time with frequent interruptions.

* Dangerous to considerable hazards reflect a frequent exposure to conditions that are unpredictable and may lead to injury.

* This role will be on-site supporting the Fleet Services team.

PHYSICAL REQUIREMENTS: * Communication skills enough to convey information to supervisor, coworkers, vendors and customers.

* Vision enough to interpret computer screens and documents to assist the public and complete work assignments, complete equipment maintenance and repairs, and interpret dials; specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

* Remain in a standing position for extended periods of time.

* Manual dexterity enough to operate computers, vehicles, and various equipment.

* Flexibility enough to bend, twist and reach out to load, and unload equipment, supplies or tools.

* Moderate to considerable physical effort that includes working from ladders in awkward positions; frequent use of light or medium weight objects (e.g., 25-50 lbs) and may also use heavy tools or require strenuous application in awkward positions enough to move objects up to 50 lbs short distances (up to 30 feet). Work entails heavy parts stocking (up to 25 lbs); fuel site inspection; operating business machines.

* Physical requirements include frequent use of fingers, use of both hands, sitting, occasional light and moderate filing, light and moderate carrying, reaching, walking, standing, bending, stooping, twisting, kneeling, squatting, and driving.
