Job Summary
In this position you will exercise discretion and independent judgement in overseeing activities related to facilities management; general office administration; reception duties, and support of the Senior Management staff.
Duties and Responsibilities
Establish and maintain office vendor, property management, and service relationships
Coordinate general facility service vendors and agreements, and to maintain related service invoices
Monitor general office supply needs
Organize and maintain all building maintenance and purchasing files
Reception duties include greeting all office visitors; issuing visitor badges; receiving mail and other office deliveries as may be needed
Provide general administrative support to senior management staff i.e. meeting scheduling, preparing correspondence, travel arrangements, expense reporting
Weekly ordering of lunch catering for three offices
Maintaining Citizens depopulation logins
Maintaining inventory and distribution of company apparel and/or promotional items
Order business cards for eligible employees
Create schedules for off-duty officers
Other tasks and projects as may be assigned
Qualifications
2-3 years previous administrative experience
Proficiency with Microsoft Office products required
Excellent communication skills and ability to interact on a professional level with internal and external personnel and partners
Ability to work independently in a fast-paced environment; meets deadlines, and manage changing priorities effectively
Essential Functions
Ability to adhere to on-site attendance schedule
Ability to communicate effectively in writing and verbally
Ability to track and maintain various bodies of data
Ability to multitask and keep track of multiple projects
Ability to coordinate between multiple vendors, departments, and employees
Ability to lift up to 50lbs
Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets and fax machines. In this role you may be asked to travel to the corporate office or other satellite offices (10% travel).
Physical Requirements
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to type, handle or feel; and reach with hands and arms.
