Job Summary
The Crewing and Vessel Payroll Coordinator provides support to Captains of vessels, signing on crew members on ships and supporting the payroll manager and union halls as needed.
Primary Objectives
Organize and collect employment-related documents.
Perform timely, accurate, and complete personnel-related data entry for all crewmembers.
Support the Vessel Payroll Manager, Captains, Crewmembers and Union Halls.
Prepare and set up for new vessels.
Provide back up support for the Vessel Payroll Manager.
Document and review existing processes to promote a continuous improvement environment.
Recommend process improvements when applicable.Duties and Responsibilities
Enter MM&P Port Relief Officers, Rotary, Vacations, and Reclaims in the MMP Portal. Email job order numbers to Captains.
Enter SIU Rotary's, Reclaims, Vacations, and Standbys in the SIU Portal. Email job order number to Captains.
Prepare clearance letters for MEBA reclaims (permanent and rotary) and send to the union hall, crew member, and Captain. Verify submission to the appropriate union hall for new rotary or rellief.
Enter crew member information on the travel request chart, verify travel profiles, and send to Travel Meadows.
Request flight from Travel Meadows, ensure receipt of flight from travel Meadows, Confirm flight arrangements with crewmember and Union Hall.
Ensure all open job orders are filled.
Ensure all crewmember documents are up to date.
Enter necessary documents, add notes, and schedule crewmembers in NS5.
In NS5, Delete “Scheduled On” crewmembers that threw jobs back and alert Captains.
Verify DOT for other companies: check NS5 for any notes, fill out form, and send back to company.
Request DOT for crewmembers from companies where they have worked in the past 24 months.
Prepare and set up for new ships.
Help prepare Chinese Visas when needed.
Backup the Vessel Payroll Manager when needed.
Process HVO Vessels direct deposits and taxes.
Other duties as assigned.QUALIFICATIONS

Education
High school diploma or equivalent requiredWork Experience
Relevant experience in Vessel Crewing required
3+ years of experience in a payroll position requiredRequired Knowledge, Skills and Abilities
Ability to follow verbal and written instructions
Excellent organization and mathematical skills
Solid knowledge of NS5
Familiarity with Microsoft Office software
Good communications and customer service skills
Willingness to work off hours when necessaryCompetencies
