Overview: We are seeking an experienced Operations/Executive Assistant to join our dynamic property management team.

The ideal candidate will possess exceptional organizational skills, attention to detail, and a proactive mindset to support our operations and executive team.

This role will involve a diverse range of responsibilities.

Key Responsibilities: 1.

Reviewing Report Accuracy: Ensure the accuracy and integrity of various reports generated within the property management department.

2.

Tracking Team Member Deadlines: Monitor and track deadlines for projects, tasks, and deliverables to ensure timely completion.

3.

Preparing Commission Results: Assist in calculating and preparing commission results for team members in collaboration with the finance department.

5.

Organizing Team Member Events: Plan and organize various team member events, including meetings, conferences, and training sessions.

7.

Drafting New and Revised Policies: Assist in drafting, revising, and updating company policies and procedures related to property management operations.

8.

Creating Monthly Operations Calendars: Develop and manage monthly calendars to coordinate schedules, deadlines, and important events for the team.

9.

Auditing Location Websites: Conduct regular audits of location websites to ensure accuracy, consistency, and compliance with company standards.

10.

Coordinating Team Member Needs with Marketing Vendor: Act as a liaison between team members and our marketing vendor to coordinate various marketing initiatives and support needs.

General Responsibilities: * Schedule appointments and maintain calendars * Schedule and coordinate meetings * Collate and distribute mail * Prepare communications such as memos, emails, invoices, reports and other correspondence * Write and edit communications, from letters to reports and instructional documents * Maintain organized digital and physical filing systems for documents, contracts, and records * Coordinate travel arrangements, including flights, accommodations, and itineraries for team members as required.

Qualifications: * Proven experience as an operations/executive assistant, preferably in the property management industry.

* Bachelor's degree in business administration, management, or a related field preferred.

* Strong organizational skills with meticulous attention to detail.

* Excellent time management and multitasking abilities.

* Proficiency in MS Office suite and other relevant software applications.

* Effective communication skills, both verbal and written.

* Ability to work independently and collaboratively in a fast-paced environment.

* Flexibility to adapt to changing priorities and deadlines.

* Prior Property Management experience.

* A Bachelors degree is preferred.
