As a Paul Davis Administrative Assistant, you will be tasked with professionally and compassionately answering incoming calls from potential and existing customers and vendors. You will also be the first point of contact for reaching out to sales leads from a variety of sources.

From there you record data into the Paul Davis proprietary software, accept new assignments, create job folders, maintain job boards, monitor documents sent to customers, make customer appointments and share in a variety of tasks to assist the daily operational needs of the mitigation department and restoration departments.

The ideal candidate for this position will:

have experience using multi-line phone systems

understand urgency and dispatch losses to appropriate associate

have a clear, pleasant speaking voice and excellent verbal and written communication skills

bilingual (Spanish) preferred

demonstrate patience and compassion with customers

be enthusiastic and service oriented

be organized, efficient and detail oriented

be able to multi-task and handle heavy workloads

must enjoy working in a fast paced environment

have computer skills including Microsoft Office, Excel and job management software

update all third party sites daily

monitor all jobs to ensure moving along timely

upload appropriate contracts to server and database

create physical folders

monitor draw schedules

maintain work boards for all jobs

be able to work M-F from 8am-5pm (and sometimes later if volume dictates)

have a good record of timeliness and attendance

provide assistance to the Emergency Services Managers, Project Managers and Owner

wear company logo wear daily (black and khaki)
