Receptionist provides assistance and administrative support for all areas of the agency.
Responsibilities include but are not limited to:
Greets walk-in clients and company personnel, directing them to the appropriate department or employee.
Answers phone and receives faxes
Responsible for copying functions and communicating copier maintenance requests.
Point person for other office equipment issues/needs.
Assist departments with administrative projects including sending out renewal questionnaires, update agency management system and other projects as may be necessary
Purchases and inventories agency supplies.
Maintains and refills postage machine.
Monitors expenses for telephone and postage so that any cost savings can be recognized and implemented.
Updates agency Distribution List/Constant Contact
Pick-up/sort and distribute mail to all departments
Provide assistance as needed/requested for clerical tasks, such as setting up permanent files, etc.
Assists with the administrative tasks included with onboarding new employees
Performs other functions as assigned by management.
Maintains/organizes common areas within the office
KNOWLEDGE, SKILLS AND ABILITIES
Must be highly organized, with demonstrated ability to efficiently function in a fast paced environment; possess skills for effective verbal and written communication. Should be familiar with business operations at the corporate level and should have a good understanding of the agency system. Must be highly knowledgeable about the mechanics and applications of Microsoft Office Suite. Must be able to adapt to regularly changing priorities.
