JOB TITLE:

Accounts Payable Specialist

WHAT YOU CAN EXPECT:

The Friends For All Corporation Accounts Payable Specialist will perform a variety of finance and accounting tasks and support FFA Chief Finance Office and Office of the Controller (Controller / CFO). They will maintains the day-to-day functions of the finance department and assists with month end close procedures including grant analysis and billing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Perform accounting and clerical functions to support the finance department.

Utilize accounting software to manage invoices and payments.

Monitor and record client HIPCSA benefit card usage and withdrawals weekly.

Process client rental assistance, invoices, and payments weekly by deadline.

Record business transactions and vendor invoices into the accounting system in accordance with company policies.

Process employee Paycard transactions.

Process staff reimbursements in accordance with company policies.

Verify purchase order and bill allocation prior to processing.

Review purchase orders, statements, and invoices to verify amounts owed.

Match vendor invoices and documentation to purchase orders.

Close fulfilled or invalid purchase orders in the accounting system weekly, as appropriate.

Input Finance department purchase orders in NetSuite.

Research, track, and resolve internal and external accounts payable issues.

Process and mail vendor payments.

Review and maintain all vendor documentation.

Review and reconcile accounts payable ledger to validate charges

Maintain blank check stock.

Support audit processes.

Review monthly accounts payable reports.

ADDITIONAL DUTIES AND RESPONSIBILITIES:

Regular and predictable attendance is required

Return all calls, emails and text in a timely manner.

Participate in weekly or biweekly coaching sessions with supervisor

Complete Performance Reviews and SMART GOALS

Participate in All Staff Meetings and In-Service Days

Other duties and responsibilities as assigned.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

A.S. in Accounting or related field or possess demonstrated experience in a similar manner. Bachelor Degree preferred

3 years accounts payable experience

Good strategic/critical thinker, self-starter, goal-oriented

Excellent verbal and written communications.

Ability to operate with purpose, urgency and accuracy in a fast-paced, deadline-driven environment -- with particular attention to detail and organization

Ability to work with a diverse client population

Strong relationship-builder both with team and clients (internal and external)

Ability to follow verbal and written instructions.

Ability to learn purchasing procedures and policies.

Proficient with Microsoft Office Suite or related software.

Ability to define problems, collect data, establish facts, and draw valid conclusions

Maintain confidential information and adhere to all Friends For All policies and procedures regarding sharing of financial information and Protected Health Information (PHI).

CERTIFICATES, LICENSES, REGISTRATIONS:

Must have a valid State Driver’s License, provide proof of automobile insurance coverage to employer at all times and have an automobile to be used daily.
