Description

Asthe Executive Administrative Assistant, you will provide high-level administrative support necessary for the smooth and efficient functioning of the Executive Office, the Houston Area Women's Center Board of Directors, and the office of the President and CEO, under the direction of the Chief of Staff.

Your Schedule:

Monday Friday

9 am 6 pm or 8 am 5 pm

Flexibility to work evenings and weekends as needed.

Local Travel: 25%, if applicable

Our Total Compensation Package:

Annual Compensation: $60,000

Pay Schedule: semi-monthly.

Qualifications

The Requirements We are Seeking:

Bachelor's degree.

A minimum of four years' experience in an administrative role, with a minimum of two years' of experience supporting C-level; preferably in a nonprofit organization.

Advanced proficiency in Microsoft Office (Word, Excel, Outlook, and Teams).

Advanced proficiency in Zoom, Adobe, and DocuSign.

Computer savvy and able to learn new applications and systems quickly.

Strong data-entry skills.

What you Deliver in this role:

Manage a high volume of scheduling requests and plan calendars to maximize time and impact.

Monitor regular communications and track status to ensure timely response or action is taken.

Process information in AP+AR, payroll, scheduling, and communications systems and platforms.

Prepare and organize information for distribution, meetings, compliance, reference, and agency archives and may schedule and attend meetings on behalf of the Chief of Staff to take notes and record minutes.

Prepare for and provide real-time support for meetings and small gatherings.

Process mail and order office supplies.

Maintain and organize records of executive and board activities and communication.

Work with Chief of Staff to support projects and determine priorities.

Assist Chief of Staff in supporting CEO, ELT and Board members and initiatives as needed.

Ability to aggregate data and prepare graphs, tables, and reports/reporting.

All other duties/projects as assigned.
