Job Summary

We are looking for talent with a 3 years experience in to join our team! You will be working in a professional front office environment. This role will be supporting a local company who provides services for federal government agencies. If you are detailed oriented, process-driven and enjoy customer service, this role if for you! Role will answering the phones, administrative duties, keep inventory, and order office supplies.

Job Responsibilities

Accuracy in handling appointments, messages, answering incoming calls from vendors.

Handle administrative tasks for program management team.

Handle the customer service needs of internal business partners

Ability to match, batch and code invoices, resolve A/P issues and review/approve expense reports.

Maintain proper storage of invoices, and other documents by organizing, logging, scanning, and filing them.

Maintain a full understanding of the Company’s retention agreements, processes, and procedures.

Execute daily processes and controls accurately and in a timely manner, ensuring compliance with company policies.

Perform accounts payable functions such as invoicing, status of accounts, expense reports.

Enter credit card charges into accounting system, complete credit card reconciliations that support employee expense reports.

Set up new vendors and enter accounting system.

Assist internal and external customers with vendor and travel expense reports.

Assist in the preparation of time and materials billings.

Update, maintain, electronic accounting records.

Assist Program Managers with project summary cost reports, project spend/execution of funds and cost reallocations.

Qualifications:

3+ years of experience in customer service and or/administrative assistant/receptionist role

High School Diploma or GED required.

Proficient in Microsoft Excel and Outlook.

Ability to work within spreadsheets and databases.

Customer service oriented, ability to multi-task, detail oriented, ability to deal with frequent interruptions and changing priorities.

Strong communication, customer service and interpersonal skills, both technical and financial backgrounds.

Code accounts payable invoices with appropriate general ledger codes.

Preferred Qualifications

Willingness to learn and adapt to changing needs

Familiar with Joint Travel Regulations

Accounts Payable (AP) experience desired

Experience with CostPoint software desiredCompany Description
