Main purpose of the position

Currently we are looking for a Project Document Controller in Cape Town, South Africa to be part of our global team working together towards our vision – Improving our future. As our Project Document Controller, you will be responsible for the management of all controlled project documents during project structuring and execution phases. Responsible to follow up on progress, approval and review Workflows, due dates of documents on Master Document List (MDL) and Supplier Master Document Lists (SMDLs). Manage the final delivery of documentation to the SPV – defined as the Technical Taking Over (TTO) package. The project Document Controller is also responsible for the Project Site on our Intranet and training of new project team members into the site setup and document management system.

Main responsibilities

Manage deliverables on MDL and SMDLs

Control Workflow progress on internal documents and do DC check

Initiate Review of external documents and follow up progress in due time

Quality check of Correspondence Log

Maintain Project Email

Project Site Administrator

Training of project members: Project Site and DMS (Document Management System)

DC reporting – Internal and External

Handle incoming and outgoing transmittals

Manage externally shared Data Rooms

Follow up progress and deliverables on the TTO (Technical Take Over) package

Prepare and update Document Control procedures in a timely manner

Qualifications and competencies

Bachelor’s degree or a related field

5+ years Document Control experience, preferably on EPC/Construction projects

Proven experience working with, the life cycle of all documents on a project from start to finish and architectural structure of the DMS flow process

Basic understanding of ISO9001 requirements

Fluent both written and spoken in English and French advantageous

Ability to do training on document management system, processes and procedure with all stakeholders

Demonstrate understanding in document mapping between Procedures and Project needs

Strong interpersonal skills, professionalism, and ability to work closely with members of different business groups and functions of a global company at all levels

Must be able to work in a fast-paced and deadline driven environment

Must be able to work extended hours when required
