The Marketing Events Coordinator reports to the Education Program Manager and owns every aspect of Event Management to create the best in-person brand experience for Eye Care Professionals and internal stakeholders within the Visionix Organization.

A successful Marketing Events Coordinator is extremely detail oriented and utilizes excellent communication and interpersonal skills to collaborate with cross-functional teams, consultants and Vendors. They have a deep sense of ownership to create the best Visionix product and brand interaction for every Event, every time. This is a full-time position and can be a “work from home” or hybrid role, located anywhere in the United States.

Responsibilities:

Changes the way the Eye Care industry perceives Visionix by ensuring the best booth placement, brand presentation, and over-experience for Prospects at conferences and Marketing Events.

Ensures all internal stakeholders are aligned, that objectives are clearly defined and met before an Event and measured against after it is completed. Manages communication for the full process.

Coordinates every aspect of the annual National Sales Meeting, including planning sessions and rehearsals for Training Presentations.

Initiates the timely planning with internal stakeholders and vendors, to ensure costs stay within the allocated budget for marketing and operational costs (shipping and T&E). Monitors targets so Vendors/Agency deliverables are completed on time; and penalty charges are avoided.

Works with internal teams (Marketing, Sales, Warehouse, Service, etc.) to produce impressive and engaging in-person Product Demonstrations and Educational Sessions at Conferences, creating a space that empowers Subject Matter Experts (SMEs) to value sell.

Monitors Lead-to-Sale Key Performance Indicators (KPIs). Summarizes lead reports and communicates key insights to Management. Proposes and implements new ways to generate Marketing Qualified Leads (MQL) from Event Activities.

Initiates and implements ways to maximize the use of digital tools (Showpad for Prospecting, Salesforce Lead Tracking, Digital Quoting), working with internal teams to drive Tools Adoption.

Guides the process to evolve from printed form and manual documentation—to a digital quoting system. Coordinates Training for sales activation and enablement.

Manage budget and resources for annual Tradeshows and Events.

And any other duties as assigned.Requirements:

Bachelor’s degree in Marketing or Business Management or 2 years of relevant experience in marketing specialty.

At least 2 years of Tradeshow Management experience required.

Prior experience with Tradeshow Vendor negotiation required.

Vendor Relationship Management a plus.

Medical Device Marketing experience a plus.

Prior experience of influencing sales and building rapport with a wide range of clients

Prior experience using EMR systems or CRM for data entry and reporting

Ability to address/train and adjust to groups of people at different levels of education.

Fluency in English (oral & written) and an ability to write detailed reports.

Proficiency in Microsoft Office (Word, Power Point, Excel, Planner) or similar Office Applications

20% travel is expected.

Must be able to travel in the US without restriction (air and ground)

Safely operate a motor vehicle and maintain a valid motor vehicle license.

Ability to maintain sufficient personal credit cards for expenses to be reimbursed by Visionix.

Special Demands:

While performing the duties of this job, the employee is regularly required to sit, talk, listen and use hand tools, objects or controls. The employee is occasionally required to stand, walk and reach with their hands and arms. The employee must occasionally lift and/or move up to 50 pounds.
