Working under direct supervision, the Analyst, SAS Disbursements is responsible for the processing of disbursements, including but not limited to inventory payments, rent payments, and all overhead expenditures. The Associate interacts with his or her leader frequently during each work period. Nearly all but the most routine activities will require advance approval from the management. This role also serves as the backup support for the highly critical and visible Travel & Expense desk functions.

This position will sit onsite in Grapevine, TX.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

• Issue payment runs and confirm acceptance by the bank; troubleshoot with the bank when necessary

• Generate open payables forecast of upcoming expenses to provide to management on a weekly basis

• Process returned/rejected payments, stop pays, and address “positive pay” exceptions

• Confirm invoice batches for posting and payments in SAP and notify key resources to rectify batch failures timely

• Provide Treasury team with wire related reporting to initiate manual wires via online banking portal(s)

• Work with Treasury to ensure that funding needs are met for specific banking institutions

• Provide payment guidance on process related questions or time-sensitive requests

• Responsible for multiple monthly ledger reconciliations (i.e., bank recon, credit card-SUA recon, Motus driver recon)

• Responsible for off-schedule emergency payments requiring special handling

• Track and develop key performance indicators and generate corresponding reports on a recurring basis

• Responsible for creation of and updates to procedural documentation (SOP’s)

• Respond to varying internal and external stakeholder inquiries promptly and professionally (i.e., payment status, etc.)

• Analyze spend trends and make data-based recommendations that streamline and create departmental efficiencies

• Audit, research and reconcile vendor accounts for overpayments

• Act as a Disbursements representative on projects, system implementations/enhancements and strategic initiatives

• Act as subject matter expert and backup support to the Travel & Expense function, performing tasks, conducting training

• Ad hoc requests and special projects as they arise

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

• High school diploma or GED required

• Bachelor’s degree with a focus on Accounting or Finance field desired and 3 or more years of applicable experience

• Must be able to work a flexible schedule to ensure business needs are met

• Proficient ability to communicate effectively with others using spoken and written English

• Proficient knowledge of Microsoft Office programs; specifically, Excel, PowerPoint and Outlook

• Working project planning skills, including the ability to organize, prioritize and control job responsibilities in order to meet deadlines in an environment with overlapping and potentially conflicting priorities

• Ability to recognize discrepancies/errors in written/recorded data/information including the ability to initiate and respond to work errors in a professional manner, working collaboratively and cooperatively with others

• Ability to work cooperatively and collaboratively with others; conducts working relationships in a manner acceptable to others and to the organization

• Working knowledge of major ERP systems preferred; experience with bank portals (i.e., SAP, Oracle, Great Plains, Dynamics 365, Coupa, JPMC Access, Wells Fargo Credit Card)
