Work Location

This role will be based out of our Home Office in St. George, Ontario. Due to the nature of the role, working on-site 5 days per week is required.

What would you be doing?

Supporting the Executive Director with calendar management, business travel coordination, Visa reconciliation, expense reporting, and other executive level assistance.

Supporting the Executive Director with activities related to the Board of Directors, including contact list management, meeting package preparation, meeting deck preparation, document retention, minute taking, orientation coordination, and meeting logistics.

Creating the agenda for and taking minutes for weekly internal leadership meetings.

Overseeing the preparation and execution of monthly all staff communication meetings.

Preparing courier and direct mail packages for shipment.

Greeting Home Office guests and visitors with a positive and helpful attitude.

Answering and routing phone calls and managing phone coverage.

Ensuring that Home Office common areas and meeting spaces are organized, tidy and stocked.

Coordinating the Home Office seating chart to ensure adequate space for in-office and remote staff.

Processing office supply and service vendor invoices.

Supporting with monthly financial reporting processes.

Acting as a lead on Culture Club Committee to ensure community and relationship building between the Home Office and Tim Horton Onondaga Farms staff.

Supporting the Human Resources team with administrative support such as data input and survey administration.

Providing other administrative support as assigned.

Does this sound like you?

Completed post-secondary education in a related field or 2-3 years of related experience.

Experience providing exemplary customer service with a high level of discretion, diplomacy, and tact.

Strong work ethic and ability to maintain confidential information.

Strong time management and organizational skills, and ability to multi-task effectively.

Demonstrates initiative to take leading steps or action.

Exceptional attention to detail.

High proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneDrive, Teams).

Excellent communication skills (spoken and written).

Bilingualism in English/French is considered an asset.

Ability to submit an acceptable criminal record search.
