Mays Chemical Company, Inc. is a fully integrated chemical distributor, recognized as an optimal source for chemicals, related raw materials, formulated products, and outsourcing services, currently seeking an Executive Administrative Assistant

The selected candidate will report to the President and will be responsible for providing a wide range of administrative and executive support in a variety of functions to the President, other executive members, department, or others in the company. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external customers. Ability to work independently performing a wide range of complex and confidential administrative duties.

Duties and Responsibilities:

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities. Employee may perform other related duties as required to meet the ongoing needs of the company.

• Composes, types, and distributes correspondence and memos, emails, faxes, and other documents for President and others.

• Handles confidential information and communications.

• Prepares daily mail for President.

• Facilitates internal communication, arranges teleconferences, video conferences and meeting rooms.

• Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the President and others.

• Uses discretion and judgement and knowledge of organization to facilitate the executive's activities.

• Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving, and preparing facilities.

• Schedules and coordinates travel for President and other personnel.

• Coordinates President's calendar and schedules appointments.

• Assists in managing President's calendar.

• Oversee event planning for company parties/celebrations, etc.

• Negotiates event prices and hotel lodging for contracted services/facilities.

• May plan and schedule work and direct other staff to deliver support.

• Assist with trade shows, annual sales meeting, and other company events.

• Act as a backup to the receptionist and assist the Human Resources department.

• Manages the company's cell phone and credit card programs.

• Maintain certifications and memberships.

• Performs additional duties as assigned.

Skills and Qualifications

• High School Diploma or is equivalent required: Associate degree in Business Administration or related field experience preferred and at least five (5) years or related work

experience.

• Strong knowledge of Windows, MS Office, including Word, Excel and PowerPoint or other graphics software.

• Excellent verbal and written communication skills.

• Ability to work independently and as a member of various teams and committees.

• Ability to deal effectively with a diversity of individuals at all organizational levels.

• Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.

• Attention to detail.
