The Human Resources Administrative Assistant/Receptionist will operate multiline telephone system to answer incoming calls, directs callers to appropriate personnel and produces various word processing documents, agency mailing, and Scanning assignments. Assists the Human Resources department and other administrative staff with special projects and clerical duties.

Responsibilities: Include, but not limited to, the following. Other duties may be assigned.

Welcomes on site visitors, determines nature of business, and announces visitors.

Receives, posts, and distributes daily mail.

Schedules package pickups and drop offs.

Maintains fax machine, assists users, sends faxes and retrieves and routes incoming faxes.

Maintains postage meter and copy machines for service needs and supplies.

Places orders and receives and maintains inventory of office supplies.

Performs other clerical duties as needed, such as data entry, filing, photocopying, scanning, and collating.

Schedules and arranges meetings for administrators with other internal staff as requested.

Prepares agendas, reserves, and prepares facilities and obtains necessary materials for meetings as requested.

Performs data entry in HRIS software to include employment applications, trainings, etc.

Monitors general office areas and break room to ensure a neat and orderly appearance is maintained.

Photographs and prepares employee ID cards.

Protects clients’ rights, safety, health and welfare and best interest at all times.

Range: $19-20 per hour + benefits

Schedule: Full Time, M-F 8:00AM-5PM

Requirements:

2-year prior administrative work experience

Proficient to advanced skills with MS Outlook, Word, Excel, Experience utilizing ADP HR (or similar HRIS) software and prior photo/video editing skills are highly desirable

High School diploma/GED. Advanced education preferred.

Must have ability to maintain CA DOJ and FBI criminal background clearance

Must pass pre-employment physical and marijuana drug screen.

Qualifications:

Must be able to perform each essential duty satisfactorily.

Education and/or Experience:

High school diploma or general education degree (GED) preferred.

Three (3) years prior related experience and prior experience with heavy call volume required.

Previous experience in Human Resources highly desired.
