Job Title: Global Process Optimization Manager – Time & Absence, Payroll and Rewards

Work hours –UK hours (11 AM to 8 pm IST)

Location: Bangalore / hybrid

Overview: We are seeking a dynamic and experienced individual to join our team as an Global Process Optimization Manager. In this role, you will be responsible for leading initiatives to streamline and improve Global HR processes, ultimately enhancing efficiency, effectiveness, and employee experience across the organization in line with company policies and compliance.

About this role:

Conduct comprehensive assessments of current HR processes, systems, and workflows to identify areas for improvement and optimization. Develop and implement strategies to streamline HR processes, reduce redundancy, and eliminate inefficiencies. Collaborate with HR leaders, department heads, and key stakeholders to understand their needs and challenges, and align process improvement initiatives with organizational goals. Lead cross-functional teams to redesign and standardize HR processes, leveraging best practices and innovative solutions. Utilize data analytics and metrics to measure the effectiveness of HR processes and track progress towards optimization goals. Identify opportunities to automate manual tasks and implement HR technology solutions to enhance efficiency and accuracy. Develop training programs and resources to educate HR staff and managers on updated processes and procedures. Stay current on industry trends, emerging technologies, and regulatory changes related to HR processes and compliance.

Key Responsibilities

Process Design and Implementation (Levels 2-5):

Collaborate with stakeholders to identify needs and identify opportunities to optimize processes to align with strategic objectives.

Develop and implement People processes at various levels (L2-L5), ensuring they are scalable and adaptable to different regions/ business units, are facilitated by technology, and optimise employee experiences.

Create process documentation and guidelines, ensuring clarity and consistency across all locations (including updating and maintaining processes on ARIS)

Process Automation:

Identify opportunities for automating People processes to increase efficiency and accuracy.

Collaborate with Product Managers to evaluate software solutions or tools that streamline processes, enhance user experience, and support People function e.g. Robotic Process Automation (RPA).

Monitor and evaluate the effectiveness of automated processes, adjusting as necessary while utilising metrics such as Process Automation Index (PAI).

Process Standardization:

Develop and implement global standards for People processes to enable consistency and compliance across all regions.

Conduct regular checks and work with the Audit team to identify variances and areas for optimization across People processes while utilising metrics such as Process Standardization Index (PSI).

Facilitate the sharing of best practices and process improvements across different regions.

Lead process change management implementation across regions, including training, documentation, and progress monitoring to drive further continuous improvement.

Process Simplification: The purpose of process simplification in People Function is to make People processes more straightforward, less time-consuming, and more user-friendly, leading to increased effectiveness, efficiency and better employee experiences.

Process Mining: analyze and understand the various People processes through data-driven insights. This may involve a variety of tools/ specialized software (e.g. Celonis) to discover, monitor, and improve People processes by extracting knowledge from event logs readily available in People systems. Similarly, conduct mining on tasks that are non-system based.

Identifying Complexity: use process mining insights to identify complex, redundant, or unnecessary steps in People processes that can be eliminated or streamlined.

Designing Solutions: redesign processes to remove bottlenecks and simplify steps, making them more intuitive and less prone to errors.

Standardisation: A key part of simplification is standardising processes across different regions and departments to ensure consistency and efficiency on a global scale, while providing sufficient solution optionality for local requirements.

Change Management: orchestrate process change management initiatives to ensure smooth implementation of optimised processes with alignment of relevant stakeholders.

Monitoring and Evaluation: Post-implementation, monitor the impact of the optimised processes on People efficiency and employee satisfaction, making further adjustments as necessary (Continuous Improvement).

Continuous Improvement:

Implement continuous improvement initiatives to enhance the effectiveness and efficiency of People processes, using a variety of methodologies such as LEAN/ 6-Sigma/ Kaizen.

Implement metrics and KPIs to measure process performance and identify areas for improvement.

Stay abreast of industry trends and best practices in People process management, incorporating new ideas as appropriate.

Stakeholder Management and Communication:

Engage with key stakeholders across regions to gather input and ensure alignment with business needs.

Communicate process changes and updates effectively to all levels of the organization.

Provide training and support to People and business teams on new processes and systems.

Compliance and Risk Management:

Stay updated on relevant, regulations, and industry standards to ensure processes comply with legal requirements.

Conduct regular compliance audits to identify gaps and implement corrective actions.

Assess potential risks associated with processes (e.g., data security, regulatory compliance) and develop risk mitigation strategies.

Qualifications:

Bachelor's degree in Human Resources, Business Administration, or a related field; advanced degree or relevant certifications preferred.

Minimum of 5 years of experience in process design, optimisation, and management within the HR function of a global organization, with a track record of tangible improvements in efficiency, effectiveness, and employee satisfaction.

Professional certification in Project Management (PMP), Process Improvement (Six Sigma, LEAN), or HR (SHRM-CP, SHRM-SCP) is highly advantageous.

Technical Proficiency: In-depth knowledge of HR technologies and experience with automation and AI.

Strong understanding of HR functions, processes, and systems, including but not limited to recruitment, onboarding, performance management, and employee relations.

Excellent analytical and problem-solving skills, with the ability to identify root causes of inefficiencies and develop solutions.

Proficiency in data analysis and visualization tools (e.g., Excel, PowerBI) to interpret HR metrics and performance indicators.

Effective communication and interpersonal skills, with the ability to collaborate with stakeholders at all levels of the organization.

Project management experience, including planning, execution, and stakeholder management.

Mandatory experience with ARIS, RPA, JIRA, confluence & Celonis.

Technical Proficiency: In-depth knowledge of HR technologies and experience with automation and AI.

Analytical and Problem-Solving: Expertise in analyzing complex processes, identifying inefficiencies, and leveraging data analytics tools for optimization.

Project Management: Proven ability to manage and deliver multiple projects using Agile methodologies.

Communication and Change Management: Skilled in leading change, including communication, aligning stakeholders and facilitating the adoption of new processes and technologies.
