Our client within investment management requires a Client Service Administrator to join their team.

RESPONSIBILITIES

Client Onboarding:

• Assisting Wealth Managers (WMs) and Asset Wealth Managers (AWMs) in gathering necessary client information for account opening documents and CRM setup.

• Drafting agreements and documents for signature, ensuring compliance with standards.

• Providing custodian with required information and monitoring asset/cash reception and account setup.

• Inputting accurate information into the CRM and Toogood system.

• Supporting WMs/AWMs in the ongoing onboarding process.

• Updating WMs/AWMs on transfer progress, identifying and resolving discrepancies, and communicating with clients.

• Verifying client holdings for accurate input and accounting.

Client Servicing and Relationship Management:

• Assisting WMs/AWMs in managing client relationships through regular contact and communication.

• Requesting and updating client files with necessary information and documentation.

• Addressing client requests and concerns, escalating to AWMs or WMs when needed.

• Gathering information on client requests related to investments or tax/accountant inquiries.

• Monitoring client requests to ensure accurate processing by the custodian and resolving issues promptly.

• Supporting WMs/AWMs in producing and reviewing client investment reviews, reporting updates, and KYC.

• Acting on action items from client meetings, such as updating investment objectives or KYC documents.

• Coordinating asset transfers to custodian and keeping WMs/AWMs informed.

Transaction Processing and Balancing:

• Reviewing previous day's transactions in the custodial system and reconciling with internal systems.

• Investigating discrepancies with AWMs and correcting errors before client communication.

• Maintaining client accounts across CRM, PM system, and custodial systems, ensuring cash reconciliation and data accuracy.

• Forecasting cash flow within client accounts and coordinating with AWMs to prepare necessary information.

• Monitoring and verifying asset transfers to custodian for accuracy.

• Processing client transactions, such as cash requests, and confirming allocation instructions with WMs.

QUALIFICATIONS

Education/Experience:

• Bachelor's degree or equivalent.

• 3+ years of experience in the financial services industry.

Knowledge, Skills, and Competencies:

• Understanding of the investment industry and investment administration.

• Strong organizational and record-keeping skills.

• Client-focused with effective communication abilities to build trust and rapport.

• Flexibility, multitasking, and prioritization skills in a fast-paced environment.

• Excellent written and verbal communication skills.

• Exceptional interpersonal skills for successful interaction with staff and clients.
