Job Description

Job Title: Accounts Payable Specialist

Department: Accounting

Status: Full Time / Exempt

Reports To: Accounts Payable Supervisor

AP Specialist Essential Functions:

Advanced General Ledger knowledge and impact on the financial statements

Assists supervisor with the prioritization of team projects and workload

Provides recommendations for future planning

Trains new hires

Assists with cash management

Assists with month end close

Expertise in PO and SO creation, reversing, editing, and adjusting

Understands connection between SO's and commissions paid

Electronic Invoicing & EDI

Manages credit card payment processing, posting, and balancing

Balance postage reports

Handles COI auditing and reporting

Manages the Received Not Invoiced report

File sales, use, and excise tax across all states

Post Freight invoices to PO's

Post complex and customized payments

Process check runs and void checks, as needed

Process ACH batch payments and upload to bank

Manage positive pay

Post ACH & credit card payments

Research advanced PO and vendor issues

Key general ledger correcting entries

Un-Receiving and working with purchasing on price discrepancies

Run and review vendor aging statement

Manage advanced AP inbox requests

Clearly communicates with vendors by phone or email

Understands the relationship between SO's & PO’s

Understands how to look up invoices and vendor payments through vendor inquiry

Post PO and expense invoices

Reconcile vendor statements

Manage vendor database

Process vendor ProForma payments

Payroll tasks include reviewing commissions, posting payroll to GL and updating the budget

Minimum Qualifications:

High School education or the equivalent.

5+ years accounting experience.

Proficient with Microsoft Office products, including Word, Excel and PowerPoint.

Works well under pressure and achieves deadlines.

Must be outgoing and have good customer service skills

Maintains positive attitude and has great communication with the team.

Ability to work well in a team environment.

Ability to work with detailed information accurately.

Ability to communicate both written and orally.
