Job Title: Administrative Assistant / Virtual Assistant

Location: Remote / Work-from-Home

Shift: Monday through Friday, 8:00am-5:00pm Central Time

Contract Duration: 4-6 months

Anticipated Start Date: May-June 2024

N-Tier Solutions Inc. is looking for a reliable and committed Administrative Assistant to provide exceptional administrative support to clients based in North America. This position is responsible for calendar management, organizing meetings and events, and preparation of documents/materials; and perform business-level correspondence to and on-behalf of the assigned manager(s)/executive(s). The Administrative Assistant is required to have the ability to communicate effectively and professionally with all levels of the client’s organization. The Administrative Assistant must possess excellent time management, detail-oriented, and organizational, and business-level communication skills; and is able to provide support to more than one manager/executive. Additionally, the Administrative Assistant must handle extremely sensitive and private information with professionalism and discretion.

Responsibilities include but are not limited to the following:

• Proofread and review before responding to any form of communication to prevent misunderstanding or errors that could harm relationships or professional reputation.

• Respond to all forms of communication in a timely and professional manner to and on-behalf of the assigned manager(s)/executive(s). (e.g. screen and route calls appropriately, email management, reminders, schedule meetings, etc.)

• Plan and organize offsite and onsite meetings/events, which includes preparing resources and handling meeting logistics, and make sure time schedules are adhered to (e.g., distribute meeting agenda, venue reservation, documents, presentation slides, set up MS Teams/WebEx, food, etc.)

• Coordinate domestic and international travel arrangements and accommodation (e.g. air/ground transportation, hotel, office space, etc.).

• Notify the manager(s)/executive(s) of any urgent or high-priority issues.

• Follow up and follow through on any action or commitments made for confirmation and to avoid misunderstanding

• Intensive calendar management.

• May attend meetings, record discussions, and produce a summary.

• Prepare and maintain different records and documents(e.g. PowerPoint presentation slides, MS Excel spreadsheet, etc.), this may include submitting expense reports.

• Work with other administrative and executive personnel within the client’s organization.

• Gain knowledge of the policies, processes, culture, and operations of the client’s organization.

• Other tasks may be assigned according to the client’s needs, such as providing necessary support to other departments or managers/executives.

• Learn best practices for effective communication in a way that will establish rapport, trust, and respect in your professional network.

Requirements:

• Must have administrative experience preferably in the U.S. market; able to provide support to more than one manager/executive.

• Experience in supporting C-level management or executive is a plus.

• Must have excellent command of the English language (both verbal & written).

• Proofreading and business-level correspondence skills.

• Able to communicate effectively and professionally with a wide range of people, especially to senior-level management.

• Has experience in intensive calendar/schedule management.

• Has experience in domestic and international travel management.

• Has experience in using travel management software like SAP Concur or similar is a plus.

• Detail-oriented and highly organized.

• Strong interpersonal skills.

• Proficient at utilizing Office 365 suite(MS Outlook, MS Excel, MS Word, MS PowerPoint, MS Teams, etc.).

• Proficient with web conferencing tools like MS Teams and WebEx.

• Computer savvy

• Able to work with multiple time zones.

• Has a quiet and conducive space for work.
