Responsibilities:

Gather and organize essential information to facilitate decision-making for Project Managers and Supervisors.

Monitor project schedules, ensuring timely completion of milestones and alerting Project Managers to schedule adjustments as needed.

Assist Project Managers and Supervisors in customer correspondence, approvals, and documentation preparation, ensuring accuracy and timeliness.

Track invoicing status versus billing plans, report discrepancies and liaise with customers regarding payment issues.

Update cost forecasts with actuals and incoming invoices, ensuring accuracy and compliance with project milestones and guidelines.

Create purchase requests (PRs) as requested by Supervisors and Project Managers, ensuring completeness and accuracy.

Collaborate with the Purchasing Coordinator when clarification is needed on purchase requests.

Plan labor accurately based on Supervisor input, including subcontracting and installation hours.

Participate in Pre-Delivery Reviews and ensure correct cost planning for accurate revenue recognition.

Manage documentation for fitters and subcontractors in coordination with the Installation Resource Manager.

Handle logistics requests for projects and support Project Managers and Supervisors in logistics coordination.

Monitor actual costs versus plans, prepare status reports for forecast reviews, and ensure correct booking of costs.

Administer change orders and variations, ensuring timely handling and communication across relevant functions.

Manage contract and scope-related claims in coordination with the Project Manager, maintaining correspondence and documentation.

Monitor project gates and S-Plan accuracy, maintaining schedules in the system as instructed.

Compile end-of-project documentation sets for submission and archiving.

Coordinate with the Project Manager and Supervisor to plan remaining costs accurately in the system after the pre-closing review.

Manage system status for sales recognition, order closing, and archiving.
