Purpose of Role
The role of the HR Advisor is to ensure seamless, integrated, efficient high-volume HR activities and advisory services are provided to all employees and managers, in HK & Macau (for both retail and office based) & may need to assist SEA when needed, enabling regional/global consistency and economies of scale. To measure, achieve and maintain high levels of productivity, effectiveness, customer service, operational performance and employee satisfaction. To consult with HR Managers/Business Partners as appropriate to manage challenging and complex HR matters that need to be escalated. To support, revise and advocate the consistent application of policies and procedures across the business and build strong relationships within HR, Head Office and Retail employees.
Primary Accountabilities
General duties
End to end support with all HR related data including processing starters, leavers, employee changes, visa applications, leave of absence, employee benefits, employee status, Employment Contract Renewal regarding right to work in a specific region
Responsible for daily HR Ticketing system – Zendesk’s management for all tier one queries and escalations for Retail and Office employees
Draft and prepare documents/ letters as requested for potential hires, annual review, people change etc
Support on offboarding procedure, includes conducting Exit Interviews with leavers and ensure an accurate final payment calculation which is compliant with employment ordinance
Respond to and comply internal/external investigations, audits, assessments and participate in and adhere to corrective actions
Work closely with HRBP on Mobility procedure and coordination to ensure a smooth relocation
Support the annual Insurance renewal process and communicate with employee on updated employee benefit
Handle work injury case by reporting to Labour Department and follow up the procedure promptly
Coordinate the logistic and communication on Staff discount / complimentary product enrolment and distribution with concerned parties
Ensure all advice and guidance is compliant with relevant employment legislation and Aesop policy and procedure
Answer questions and recommend corrective resolutions to address employee issues, complaints, and enquiries
Stay informed of key Human Resources issues/ events and policy changes that impact enquiries, and to communicate this information back to the appropriate parties
Provide information to 3rd parties as required with regards to employment status and salary etc
Support the regional projects roll-out by keeping track the project status and risk management
Assist in HR administration tasks from as required
HRIS and Data
Responsible for workday administration activities including all system escalations for Retail and Office Team (Hiring, Termination, Job changes, Org changes, Sup org creations, Position management)
Response for managing talent acquisition administration including workday requisition creation, position management, ensuring correct cost centre allocation for new hires
Assist in answering questions, training and the roll out of new Workday modules as required or directed by COE
Ensure data integrity in Workday by conducting data audits as required and periodic data cleanses
Maintain all employee files as legally required
Provide reporting support to Management Team, People Services Manager, HR Business Partners and the business to support decisions making and insights
Work with Payroll team to ensure proper reporting are sent and actioned on a timely basis

Internal – People Services Manager, HRBPs, Head of HR, PS Team, TA Team, Aesop Managers and employees
External – HR Suppliers and Partners
Technical Requirements (or Certification Requirements)
Bachelor’s degree or equivalent experience
Experience within HR function in a similar role
Knowledge of current employment law, regulations and legislations
Knowledge of HRIS, Applicant Tracking Systems, Zendesk ticketing system and other HR systems, WorkDay strongly preferred
Key Experience, Knowledge & Skills Required
Solid and progressive experience within HR function gained from related industry preferred
Possess and develop a clear understanding of all HR processes and their application as part of the employee lifecycle
Team Player, Proactive and Service Delivery mindset
Excellent communication skills, both verbal and written. With the ability to listen and connect with the ability to listen and connect with the customer
High ethics and ability to safeguard and maintain confidential information
Strong analytical with organizational skills and attention to detail
Knowledge of current employment law, regulations and legislations
