We are seeking a highly organized and detail-oriented Assistant Manager to join our team in the role of PMO & Business Support. The ideal candidate will possess excellent project management skills, the ability to work collaboratively across teams, and a keen eye for optimization opportunities. As the Assistant Manager, you will be responsible for supporting various operational and administrative functions within the RO.EC Operations, including capacity utilization, project management, supplier coordination, and internal reporting.

Key Responsibilities:

Capacity Utilization and Effort Mapping:

Establishing baseline effort requirements for campaign activation and assessing actual time spent/utilization.

Tracking, reviewing, and presenting campaign capacity utilization.

Providing recommendations for improvement and identifying optimization areas.

Asana Campaign Board Management and Automation:

Collaborating with RO.EC Market Adoption Leads for project coordination with markets.

Maintaining multiple boards within Asana for market scope management.

Automating and updating Asana campaign boards in coordination with Market Adoption Leads.

Market & MB AG Administrative Support:

Ensuring timely SLA/PO and invoicing processes with markets/MPCs (clients for RO.EC).

Managing Asana board for effort tracking & POD confirmation from streams.

Supplier Steering & Admin Support:

Managing regular POD and invoicing processes with suppliers/vendors.

Ensuring timely input from internal stakeholders for monthly review and release.

Project Management and Coordination for Yearly OKRs:

Coordinating with stakeholders for joint review and planning interactions.

Steering discussions with stakeholders for data optimization and automation.

Internal Reporting, Dashboards, and Presentation Management:

Generating management reports and ensuring timely submission to OSM/RO.EC leads.

Maintaining Asana automated boards for campaign KPIs.

Providing presentation support for visits and internal management reviews.

Coordination and Steering of RO.EC Business Case Discussions:

Gathering and processing data for internal usage.

Setting up and maintaining yearly business case files for evaluation.

Operational Process Optimization:

Coordinating with stakeholders to update process maps and plan timely reviews for RO.EC work instructions.

Assisting in optimizing processes based on capacity utilization inputs.

Market Satisfaction Survey + Menti:

Preparing and setting up market survey forms/details in Mentimeter.

Analyzing responses and presenting management summaries to RO.EC leads.

Qualifications:

Education Level / Training:

Graduate with post-graduation (preferred).

PMO certification (preferred).

Experience:

Total industry experience of minimum 7 years.

Handling external vendors for a minimum of 2 years.

Experience in scrum/agile project management/PMO function (preferred).

Working in the automotive industry or luxury industry (preferred).

Specific Knowledge/Skills:

Good reporting skills, including a sound knowledge of MS Office (especially Excel and PowerPoint).

Knowledge and experience in planning, calculation, and monitoring with a focus on administration of invoices/SLAs.

Self-organized, structured, and proactive.

Detail-oriented, accurate, comfortable working with figures.

IT skills (preferred).
