Summary

Our Payroll Billing Specialist role is responsible for processing time worked for temporary associates from multiple sources and entering data into the payroll and billing software. You will assist the department in creating and sending customer invoices and reports. The specialist compiles, verifies accuracy, and sorts information according to priorities to prepare source data for computer entry. The role also reviews data for deficiencies or errors, makes corrections, and reviews output. Maintains customer confidence and protects operations by keeping information confidential.

Monday – Friday, no nights, weekends or on call hours.

Key Responsibilities

Gathers weekly hours worked from various timekeeping sources.

Manipulates data via Excel for import into payroll system.

Manually enters data into Edge or other systems.

Verifies accuracy of entries, calculates and processes pay.

Prepares various weekly and monthly reports such as error report and custom customer reports as requested.

Creates customer invoices via Excel per customer requirements. Verifies for accuracy and sends to customer.

Answers customer questions about invoices and resolves issues as needed.

Participates in answering office phone calls and handles work verifications.

Creates processes to solve problems per customer request.

Maintains current knowledge of Avionte software.

Maintains up to date knowledge of applicable state and federal wage and hour laws.

Other duties may be assigned as needed.

Qualifications & Skills

Communicate effectively in written and verbal forms.

Organization and attention to detail

Able to handle sensitive or difficult issues with confidence and in a calm manner without being unduly influenced by intense emotions.

Data Entry Skills

Must display persistence and dedication to complete all assigned tasks.

Strong problem-solving abilities.

Understanding of Basic Accounting Principles

Proficient with the Microsoft Office Suite. Intermediate level using Excel and Word tools.

Experience using other standard office equipment.

Good basic math skills.

Strong multi-tasking abilities.

Must be able to contribute to a positive team atmosphere.

Must demonstrate strong customer service orientation.

Must be detail and results oriented.

Excellent communication (listening, speaking, writing) & diplomacy skills.

Results oriented, knowing when to act and when to seek guidance or permission.

Assertive but respectful in communications with clients and team
