Position Title: Executive Assistant

Position Reporting to: Vice President - Global Business Services/ Finance Director

Location: Goregaon East

Job Purpose: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support at our Capability Center. The successful candidate will play a crucial role in ensuring the smooth functioning of the Finance Director's office and supporting the achievement of strategic objectives.

Managerial and Functional Responsibilities:

Manage the Finance Director's calendar, scheduling appointments, meetings, and travel arrangements efficiently.

Act as the primary point of contact for internal and external stakeholders, screening and directing inquiries appropriately.

Prepare and edit correspondence, presentations, reports, and other documents on behalf of the Finance Director.

Coordinate and facilitate communication between the Finance Director and various departments within the organization.

Assist in the preparation and organization of meetings, including agenda creation, document distribution, and minute-taking.

Conduct research and gather data to support the Finance Director in decision-making and project execution.

Manage and prioritize multiple tasks simultaneously, proactively identifying and resolving conflicts or issues as they arise.

Maintain confidentiality and discretion when handling sensitive information and matters.

Assist with ad-hoc projects and tasks as assigned by the Finance Director.

Job Requirement:

Experience: Proven experience (7+ years) working as an executive assistant or similar role, supporting senior management in a corporate environment.

Functional Competencies:

Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

High level of discretion and integrity when handling confidential information.

Ability to work independently with minimal supervision, while also functioning effectively as part of a team.

Flexibility to adapt to changing priorities and responsibilities as needed.

Previous experience in the Global Capability Center in finance or Shared Services industry is a plus.
