The Project Administrator plays a crucial role in providing administrative support and coordination for project management activities within the organization. This position involves assisting project managers in planning, organizing, and executing projects to ensure successful outcomes.
Responsibilities:
Documentation Management:
Maintain project documentation, including project plans, schedules, meeting minutes, and other relevant records.
Ensure all project documentation is accurately recorded, organized, and accessible to project team members.
Communication Coordination:
Facilitate communication among project team members, stakeholders, and vendors by scheduling meetings, distributing agendas, and documenting discussions.
Serve as a central point of contact for project-related inquiries and correspondence.
Schedule and Resource Management:
Assist in managing project schedules by tracking tasks, milestones, and deadlines, and ensuring adherence to timelines.
Coordinate the allocation of resources, such as personnel, equipment, and materials, to support project activities.
Financial Administration:
Assist in monitoring project budgets, tracking expenditures, and processing financial transactions, such as invoices, purchase orders, and expense reports.
Support in financial reporting and forecasting activities as needed.
Administrative Support:
Provide general administrative support to the project team, including scheduling meetings, arranging travel, processing expenses, and maintaining project files and records.
Assist in preparing presentations, reports, and other project-related materials.
Qualifications:
Bachelor's degree in Business Administration, or a related field.
Proven experience in project administration or related roles, is an advantage
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Detail-oriented with a focus on accuracy and quality.
Ability to work effectively in a fast-paced, dynamic environment.
