As an administrative assistant we are looking for individuals who are detail oriented, attentive, and comfortable with a challenge. Organization is crucial and we want to see individuals who are willing to go to extra lengths to ensure that everything is in place.

We are looking for individuals with experience in:

Scheduling

Route planning

Customer service

Invoicing and Collections

Payroll, Time keeping, and management

Strong phone and interpersonal skills

Job Duties:

Review schedules and plans. Ensure the schedule is organized and set.

Routine collections. Scheduling of present and future jobs. Answering calls and closing on estimates and enhancements. Planning and Relaying info to field techs. Invoicing jobs on a timely manner and tracking paid and unpaid invoices. We may also ask for additional help with marketing and turning over jobs

Organize and ensure systems are updated daily.

Assure customer satisfaction.

Review schedules and coordinate with staff.

Plan effective routes that minimize time waste between jobs.

Answer incoming calls and schedule estimate appointments.

Follow company collections process for open invoices.

Manage company email and respond to clients and future clients in a timely manner.

Enter payments and invoice clients.

Manage social media sites and create marketing campaigns.

Review time cards and submit payroll.
