Job Summary

The Accounting Assistant assists the accounting department and staff accountants with various clerical tasks and support. This role is responsible for posting cash receipts, billing and lien Waivers, executing special projects and providing overall support to the accounting team.

Essential Duties and Responsibilities

Posts cash receipts (daily)

Prints AIA Billings and Waivers of Lien for review (monthly/as needed)

Indexes AR billing documents & posts AR billings to Viewpoint (monthly/as needed)

Collates Assistant Operational Controller (AOC) notes for delinquent AR &distributes delinquent AR reports to AOCs weekly.

Records payroll disbursements in VP (weekly)

Assists with collecting subcontractor certified payrolls (contacting).

Submits LCP – Holt certified payroll (weekly)

Records bank transfers (daily)

PBS cash management entries (weekly)

Accounts Receivable

2 hours per week following up with soon to be delinquent AR

Weekly send out over 90 to executives (reviews notes)

Qualifications

High school diploma

2 years’ experience working in an office environment (Construction Industry experience is a plus)

Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).

Viewpoint/Vista, Procore or Textura, a plus Excellent written and spoken communication skills.

Strong analytical skills and attention to detail

Strong organizational and time management skills

Ability to prioritize tasks and meet deadlines.

Works well independently and in a team environment
