Job Description

The Treatment Coordinator plays a pivotal role in the orthodontic practice, serving as a liaison between the patient and the orthodontist. This position requires a blend of clinical knowledge, interpersonal skills, and administrative prowess to ensure that patients receive the highest level of care and support throughout their treatment journey. The Treatment Coordinator is responsible for guiding patients through treatment options, explaining procedures, coordinating appointments, and assisting with financial arrangements.

Key Responsibilities:

Patient Consultation and Education:

Conduct initial consultations with patients to understand their dental concerns and treatment goals.

Educate patients about various orthodontic/dental treatment options, including braces, Invisalign, dental implants, etc.

Explain treatment procedures, expected outcomes, and potential risks to patients in a clear and comprehensible manner.

Address patient questions and concerns regarding treatment plans, timelines, and costs.

Treatment Planning and Coordination:

Work closely with orthodontists/dentists to develop personalized treatment plans for patients based on their unique needs and preferences.

Coordinate treatment schedules and appointments for patients, ensuring timely follow-ups and adjustments as needed.

Collaborate with other dental professionals, such as orthodontic assistants and hygienists, to facilitate seamless patient care.

Maintain accurate and up-to-date patient records, including treatment plans, progress notes, and diagnostic images.

Financial Management:

Provide transparent and detailed explanations of treatment costs, insurance coverage, and payment options to patients.

Assist patients in understanding their insurance benefits and maximizing coverage for orthodontic/dental treatments.

Process insurance claims and verify patient eligibility for coverage.

Coordinate payment plans and financing options for patients to help them manage the cost of treatment.

Patient Communication and Follow-Up:

Serve as the primary point of contact for patients, addressing inquiries via phone, email, or in-person visits.

Follow up with patients to ensure they are adhering to treatment plans and experiencing satisfactory outcomes.

Provide ongoing support and guidance to patients throughout the treatment process, addressing any concerns or issues that may arise.

Foster positive relationships with patients to promote patient satisfaction and retention.

Administrative Duties:

Assist with administrative tasks such as scheduling appointments, managing patient records, and maintaining office supplies.

Coordinate with front desk staff to ensure efficient patient flow and minimize wait times.

Participate in staff meetings and training sessions to stay updated on best practices and industry trends in orthodontic/dental care.

Qualifications:

Previous experience in a dental or orthodontic setting is highly desirable.

Strong interpersonal and communication skills, with the ability to build rapport with patients and colleagues.

Proficiency in dental software systems for patient management and scheduling

Knowledge of dental terminology, procedures, and treatment modalities.

Excellent organizational skills and attention to detail.

Ability to work independently as well as part of a collaborative team.
