Summary: Project Management Assistant (PMA) is responsible for assisting the Project Manager with coordinating and integrating activities across multiple functional lines.
Ensure responsibilities are accurately completed on time through the progression of Project evolution from inception through closeout.
This position is based in San Juan, Puerto Rico.
Primary Responsibilities:
Support PM with:
Team meetings and walkdowns (agendas, minutes, action item tracking)
Support PM with RFP creation for COC construction bidding.
Maintain project Phase Checklists
Supports the build out of project schedules.
Permit(s) status follow-up with point-of-contact.
Request opening Project IDs and ITNs
Obtain financial updates from vendors.
Update Financial forecasts in PECO system(s)
Prepares various project status reports and Performance Indicators
Tracking RFI submissions
Support PM with project Federl Reporting requirements.
Perform project Vendor Invoice Reviews, generate Invoice Checklist, and submit email/request to LUMA PM for Approval
Obtain project ID report(s) and facilitate closeout of (Contract Change Requests, Material Requests, Work Orders)
Review MR and Contracts QAQC report from Project Controls and consult PM for corrections
Works directly with both the Contractors and LUMA personnel to resolve issues
Tasks assigned as needed in support of Project Management
Directly manage relatively smaller projects under the purview of Project Manager
Education:
Engineering or Business Bachelor’s degree and 2-4 years of experience in the electric utilities, gas utilities field or in a related area
Or
Engineering or Business associate degree and 5-8 years of experience in the electric utilities, gas utilities field or in a related area
Experience:
Familiar with a variety of ELECTRIC utilities field’s concepts, practices, and procedures.
Must be able to self-manage and work well in a changing environment.
Must be able to communicate professionally on the phone, via email, and in person.
Proficient user of Asset Suite 8 preferred.
Proficient users of Word, Excel, Access, and Outlook.
Able to demonstrate business acumen and communicate effectively across multiple levels, both internally and externally.

Requirements:
Candidate must be local or willing to relocate to San Juan, Puerto Rico.
Must have a valid driver's license and a driving record that meets Anser Advisory requirements.
