Office Coordinator

POSITION PURPOSE: Provide administrative support for the front desk at the corporate office.

Coordinate the pickup, drop-off, and sorting of mail at the corporate office.

Provide support to the Assistant Facility Manager on an as-needed basis.

ESSENTIAL FUNCTIONS AND BASIC DUTIES Answer phone calls, emails, and faxes and route as appropriate.

Keep main front desk information updated as needed.

Greet and direct visitors and delivery persons and direct as needed.

Pick up mail from post office daily and sort into mail slots or scan to various departments as needed.

Stamp outgoing mail and packages and deliver to post office daily.

Track and replenish copier, FedEx, and mail supplies as needed.

Maintain mail stamping machine including ordering and replacing ink.

Keep information in FedEx software updated with changes in addresses, department codes etc.

Login packages received from various carriers and email employees to let them know to pick up their packages from delivery room.

As needed back up duties of Assistant Facility Manager.

This is most relevant when Manager is on vacation.

Assist on any projects assigned to you by Office Services Manager.

PERFORMANCE MEASUREMENTS QUALIFICATIONS: Must have a valid driver's license and personal vehicle with applicable liability insurance.

Employees who drive for this role will be reimbursed for mileage at the applicable IRS mileage reimbursement rate at the time of the driving.

EDUCATION/CERTIFICATION: Completed high school education or equivalent.

EXPERIENCE REQUIRED: One year of general office work required.

SKILLS/ABILITIES: Must have working knowledge of Windows, Microsoft Office Suite, and World Wide Web.
