The Randy Moore Foot Care Clinic is a Chiropody/Podiatry clinic in the West Hill area that has been established for over 19 years. The clinic operates with the full-scope of practice serving patients from the Scarborough community and beyond with foot care needs such as high-risk and routine foot problems, gait abnormalities requiring orthotics, soft-tissue lesions, foot dysfunction requiring manual therapy, and nail surgery to name a few.

Under the direction of the Owner and the Associate, the secretary/receptionist is responsible for providing experienced support with respect to Patient Relations, administrative duties; both book-keeping and utilizing the EMR
( Electronic Medical Record ) program for bookings, billings, and communication etc., and back-office duties such as instrument re-processing and sterilization, logs, and general office sanitization. This individual may be required to assist in some circumstances.
The Secretary/Receptionist will keep a professional and welcoming and helpful attitude towards patients, colleagues, and visitors to the clinic while following all policies and procedures of the position and the clinic. Utilizing the telephone to make appointments, return calls, confirm appointments, screening, etc. is a daily requirement of the position.
The Secretary/Receptionist is proficient with the computer and applications: Excel, experience with the EMR, Outlook, Google, etc.
Confidentiality of the Patients and all clinic matters in this position is understood and maintained.
Position duties providing secretarial/reception duties to the office including but not limited to:
- Answering a multi-line phone system from patients, vendors, other health care professionals
- Scheduling and rescheduling patients using EMR software and hard-copy book as the various providers require coordination of scheduling
- Billing, generating accurate invoices, handling payment and POS transactions, keeping accurate tracking of transactions, and balancing at end of day in reconciliation
- Maintaining EMR patient files within EMR system
- Scanning and linking documents to patient files within the EMR, and completing and printing forms as needed
- Entering medical data into the EMR, also updating patient, physician, and any other information
- Eliciting initial medical and demographic information on hard copy and inputting it into the EMR when booking initial appointments. Having the hard copy ready for the patient to finish and sign when they arrive for their appointment
- Being able to book patients according to the visit type: ie new, follow-up, orthotic pick-up etc. Being able to be familiar with the visit type codes
- Assisting with orthotic casting, prescription, and shipping.
- Receiving Orthotic shipments and coordinating patient booking for fitting in a timely fashion
- Contacting the lab for technical support, orthotic enquiries, and shipping enquiries when needed
- Understanding and utilizing Public Health and COCOO (Professional College) requirements for sterilization and reprocessing of medical instruments. Demonstrating safe handling of soiled instruments and repackaging them for sterilization to be used for patients
- Maintaining a professional atmosphere in the office and running the office efficiently and with accuracy

Requirements
- Preference to have 1+ years experience at least in a private medical office setting
- MUST have High School Diploma minimum
- MUST have fluency with computers, data bases, and EMR
Pay: $18.50-$20.00 per hour
Expected hours: 18 – 32 per week
Schedule:
8 hour shift
Day shift
Monday to Friday
Weekends as needed
