Fast-paced private practice looking for a detail-oriented full-time receptionist / optician to join our team – experience not required! Set schedule working Monday, Wednesday - Saturday. Off on Tuesday, office closed Sunday. Benefits not included. Looking for a quick learner, self-starter and good team player – office is small with a heavy focus on patient satisfaction and customer service. Pay to be determined by the owner at time of hiring.

JOB TYPE:

Full time (35 - 40 hours / week) Monday- Friday, 9 am - 5 pm; Saturday, 9 am - 2 pm.

JOB SUMMARY:

Answering incoming calls, scheduling appointments, greeting and interacting with patients / vendors both in person and on the phone. Patient work-up, check-out, and frame styling. Working with a mix of self-pay patients and a number of insurance policies to determine patients’ costs and co-pays.

MAJOR DUTIES AND RESPONSIBILITIES:

Scheduling, confirming, and moving appointments in OfficeMate.

Speaking with various labs, vendors, representatives, and other providers as needed.

Verifying insurance benefits and relaying co-pay information to patients. Charging patients correctly and collecting payment both in person and over the phone.

General patient work-up, including: reviewing paperwork, updating patient profiles, pre-testing patients, reading glasses, setting up exam rooms, charting and presenting patients to doctors.

Frame styling, selling glasses and contacts. Ordering product as needed.

Dispensing product to patients.

Obtaining and sending medical records / referrals as needed.

Communication

Communicates clearly with all team members within the organization in order to convey pertinent patient issues, appointment information, provider schedules.

Effectively communicates information about patient concerns and care plans to appropriate staff in a timely manner.

Leaving detailed notes about order delays, messages for providers, etc. so that all team members are aware of what is going on.

Takes accurate and detailed messages, and forwarding them to the appropriate person.

Documenting conversation pertaining to patients from other providers and distributing them to the care team efficiently.

Teamwork

On the job training to ensure all staff can assist in others areas if needed.

Multitasking on a daily basis, working alongside other staff to get patients in and out as smoothly and quickly as possible.

Professionalism

Consistently displays professionalism in dealing with patients, staff, and vendors as observed by manager.

Performs duties with accuracy, timeliness, and a pleasant demeanor.

Abiding by the office dress code and office policies at all times.

EDUCATION AND/OR EXPERIENCE:

Must provide a minimum of three professional references.

High school diploma or G.E.D. is required.

Bilingual to Spanish or Vietnamese is preferred, but not required.

Optical experience / previous work with OfficeMate is not required.

Active HIPPA certification preferred, but not required.

WORKING CONDITIONS/PHYSICAL DEMANDS:

While work is performed in an office environment, employees are on their feet several hours each day for patient interactions, work-ups, dispensing product, etc.
