DUTIES AND RESPONSIBILITIES:

The Import/Export Personnel will work with any customs agent, warehouse staffs, any shipping companies, and clients or requesting parties that require import/export materials or any type of goods. The Import/Export Officer helps with the shipping, receiving and record keeping for all international transactions and documentations. Related to such functions are the verification or adherence to the import / export policies set by the country of origin and the receiving country.

The position will also handle the daily coordination with procurement and warehouse personnel to insure all goods will be received on time and not exceeding any freight costs.

Provides the best or most efficient delivery logistics through data management which will insure cost efficient way of transporting goods from outside the country going in or vice versa.

Maintain daily communication with overseas suppliers which have an incoming materials or goods and directly advising the customer (requesting party) on the current status of the shipment.

Track down all shipment that are coming in the country or going out of the country in order to perform immediate action in cases where possible problems may occur.

Coordinates with our shipping authorities such as customs, forwarders and other related groups to make sure clearance of the goods are attained in the earliest time.

Handles all shipping quotes from prospective shippers and recommend to the Procurement Supervisor the best shipment cost as required by the company and fastest way of delivery.

Handles all insurance quotes and claims from all insurance companies in relations to shipping issues. Directly reports to the Procurement Manager if issues regarding insurance need to be given immediate attention.

Fill-out import / export documentation, compile carrier and route assignments based on gathered transactions and make the necessary weekly or monthly reports as required by the Procurement Supervisor; consider in the report, transaction fees, shipment costs and delivery time.

Continuously monitor the changes in policies of both the government and shippers’ requirements to further speed up the processing transaction of all materials for shipment or transfer.

Proactive in the continuous changing of process for all import / export materials and allow changes to be a part of the job so that all new procedures can be easily understood and acted upon.

Needs to understood the most updated procedures for Procurement and Warehouse in order to fully support the Department in terms of import / export processes.

Recommend more effective procedures to the Procurement Supervisor in order to insure all procedures and instructions are updated based on actual condition.

Actively involve him/her self on all shipping requirements processes including government requirements and always analyze the current shipping condition so that appropriate action may be taken to allow goods to receive by the end user on time.

Preparation of reports and presentations to the Procurement Supervisor as required.

EDUCATION, SKILLS AND EXPERIENCE:

Education:

College graduate with degree in customs administration.

Licensed Custom Broker is an advantage.

Experience:

At least two years of experience in import and export regulations.

Others:

Relevant tertiary qualification and/or extensive experience in import/export processes and/or related functions.

Good knowledge of import / export principles.

Demonstrate high level of communication specially in government agencies and other shipping agencies (have good persuasion skills). Have good understanding of government agencies related to shipping.

Experience in planning, organizing, prioritizing and coordinating work in a changing environment.

Ability to work under pressure and meet competing deadlines.

Ability to use a range of computer applications

Willing to expand knowledge in Import / Export Field.
