JOB TITLE: Resource Associate
SUPERVISION RECEIVED: VP, Integrated Resources
EXEMPTION STATUS: Exempt
JOB SUMMARY: The Resource Associate is an integral part of the Resourcing team and is responsible for and contributes to the day-to-day activities, ensuring consistency of resourcing throughout a project’s lifecycle. The Resource Associate will be the point of contact for all requestors assigned. They will accurately track resource assignments and availability in project management tool (Asana). This role will collaborate with other employees or managers and be responsible for acting as a liaison between project teams and the VP, Integrated Resources.
TASKS/RESPONSIBILITIES: The general duties and responsibilities include:
Resource Assignment
Receive requests for resources from requestor(s) and respond in a timely manner
Collaborate with Managers, Associates and project team leads (Account Managers, Producers, and Creative Directors) in assigning appropriate resources to projects and proposals
Responsible for ensuring completeness of project intake forms in order to develop scope and deeply understand a project’s scope to be certain of accurate staffing assessment
Collaborate with VP, Integrated Resources and the Resourcing team on updating weekly reports, calendars, freelance database and communicate any conflicts
Consistent ongoing follow up is required during the sourcing process where project scope, dates, location, etc., may fluctuate during project lifecycle and will require changes to be communicated to held resources
Follow up with freelance resources regularly to track availability, potential blackout periods, rate changes, etc.
Assist in identifying and vetting new talent for external freelance bench as well as stay up to date on internal employees’ upleveling of their skills and experience
Input and maintain data in project management systems regularly
Follow up after each project completion on resource performance and track important information in project system (Asana)
Resourcing Process
Adhere to process and educate employees requesting resources
Manage workflow and be proactive in assignment of resources
Office Responsibilities
Act as a backup to for other Associates
Special projects as assigned by the VP, Integrated Resources
Skills, Knowledge & Abilities
Experience/knowledge in event production with an understanding of projects roles and their respective functions
Ability to communicate effectively with all levels of management

HOURS: The normal office hours are 8:30 a.m. to 5:30 p.m., Monday through Friday (40 hours per week). However, due to the nature and the scope of this position the days and hours may fluctuate.
PHYSICAL REQUIREMENTS: Ability to perform job duties that may include an average amount of lifting (+ or – 25lbs.), sitting, bending, stooping and standing is required.
TRAVEL REQUIREMENTS: Minimal travel is associated with this position. Travel for InVision related business is reimbursable at the amount allotted under state & federal guidelines.
EDUCATION/EXPERIENCE: This position requires a minimum of three to five years’ experience in the event production industry.
SALARY: The salary range for this role is from $50,000.00 to $70,000.00. Specific pricing for the role may vary within the above range based on factors including geographic location, candidate experience, and skills. This role may also be eligible for additional compensation. Eligibility to participate in a discretionary annual incentive program is subject to the rules governing the program, which if any, depends on various factors, including, without limitation, individual and organizational performance. In addition, employees are eligible for benefits including paid time off, medical, dental and retirement.
