Job Description
Responsibilities:
Provide attorneys with secretarial and administrative assistance, prepare correspondence and legal documents such as summonses, complaints, motions, responses, discovery, and subpoenas for attorney review.
Maintain calendaring system and assist attorneys in all aspects of case handling from inception of case through trial preparation.
Open, organize and maintain up to date filing on all legal documents and case files (electronic & paper)
Close, maintain and organize "closed” legal files and prepare same for off-site storage shipments and logs
Process vendor invoices; make travel arrangements and submit expense reports for attorneys;
Enter attorney's daily billable time and run data reports in Sage Timeslips Program
Maintain Sage TimeSlips program with IT support
Upload attorney prepared narrative case budgets in T360 (TyMetrix) System, monitor funds remaining
Generate monthly invoices for all legal cases in Sage Timeslips
Submit monthly invoices to T360 for payment
Enter invoice payments into Sage Timeslips program
Work effectively as a team with major claims litigation office.
Interface with management, facilities and technology personnel.
Skills:
Basic knowledge of legal court procedures,
Ability to navigate and effectively manage litigation office files and case management systems.
Expertise in the Microsoft Office 2010 suite of programs with proficient knowledge of Excel and Adobe.
Knowledge of legal professional service organizations and legal secretarial and administrative practices and functions.
Ability to maintain professionalism under pressure.
Ability to converse in a professional manner with clients, claims, opposing counsel and experts.
Knowledge of both the Federal and State court systems throughout the counties and state and familiarity with court rules and e-filings.
Education/Experience:
Seasoned legal secretary experience with minimum of 3 to 5+ years of experience required.
