Job Summary

The Communications and Administrative Coordinator reports to the Associate Director of Enrollment Marketing and works closely with the Assistant Dean for Enrollment Services in Degree Programs and Student Affairs (DPSA) to implement communications strategies to support and advance Enrollment Service’s priorities and programmatic activities. The Coordinator will contributes to a range of projects related to branding, storytelling, website content and design, publicity and marketing, and other collateral. Additionally, the Coordinator will serve as the office coordinator for the Enrollment Services team as well as backup to front desk student workers of Enrollment Services suite. The Coordinator should be service-oriented and is expected to incorporate the principles of Inclusive Excellence and Diversity, Inclusion, and Belonging best practices to ensure a service approach that reflects cultural competency for the front office.

Position Description

Provide communications and marketing assistance in support of the School’s objective to be a leader in recruiting and enrolling a diverse and talented graduate student body committed to public service (80%)

Produce student-focused editorial content, working in close collaboration with other DPSA communicators, for the HKS website, digital and social media channels, and print collateral

Assist with the maintenance of website content, including but not limited to webpages related to master’s degree programs, admissions criteria, recruitment activities, financial aid, and student life

Draft, edit, and format templates geared toward prospective students, applicants, and admitted master’s degree students, including the creation of templated responses used to address frequently asked questions

Assist in the creation of content for the HKS Admissions & Financial Aid blog. Identify timely topics, recruit student bloggers, write and edit content, and format posts

Support Admissions & Financial Aid events and recruitment efforts through marketing and promotion

Provide writing and editing support for Enrollment Services intranet pages as needed

Adhere to HKS brand and editorial style guidelines, as well as best practices for digital accessibility

Provide administrative support to Enrollment Services (Admissions and Financial Aid, Registrar, Enrollment Systems and Data, Enrollment Marketing) (20%)

Provides front line coverage of the Enrollment Services front desk, greeting visitors and properly directing inquiries to staff within the suite when student workers are unavailable

Provides general administrative support, including creating and maintaining effective and efficient

filing systems, purchasing and maintaining inventory of office supplies for Enrollment Services

Provides general financial support, including ensuring contracts are maintained up-to-date, submitting vendor payments, and reconciling financial transactions

Evaluates the administrative operational procedures within the office to ensure greater efficiency and provides recommendations to office leadership for efficiency enhancements

Provides back-up customer service support as needed across Enrollment Services functions

Performs other related duties as assigned

Basic Qualifications

At least 1 year of professional work experience in communications/marketing required.

Additional Qualifications and Skills

Excellent writing and editing skills.

Strong organizational skills and attention to detail.

Experience making web updates.

Experience using Slate (or another CRM) preferred.

Graphic design experience a plus

Ability to function effectively in a diverse team and service-oriented environment

Demonstrated proficiency with Microsoft Office programs is essential

Ability to work under pressure, understand and explain complex policies and procedures, and accommodate change

High degree of flexibility and adaptability

Ability to uphold FERPA and other data privacy regulations and standards

Ability to multi-task with precision

Ability to adjust to new evolving technology

Able to accept direction from multiple sources and prioritize effectively

Capable of working independently and as part of a team

Bachelor's degree in a related field is a plus, but not required

This is a hybrid position based on our campus in Cambridge, MA. Salary Range: $54,340 - $85,675

Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
