As an Administrative Assistant you will provide direct administrative support in our Assurance practice to Partners, Managers and clients. The Assurance team will rely on you to help ensure the operational excellence Grant Thornton strives to provide its clients and employees. You will be an integral part of the practice and a front-line contact for clients and a liaison for colleagues connecting with their clients.

This role is maternity-leave coverage and will be 12-18 months in length.

As an Administrative Assistant, Audit your responsibilities will include:

Dynamic Practice Management:

• Assist assurance practitioners in efficiently managing their growing practices

• Support the onboarding of new and existing clients and engagements by entering and maintaining client data using Microsoft Dynamics software and other Grant Thornton systems (such as creating jobs in Microsoft Dynamics, rolling forward of jobs/files, and archiving as appropriate for the engagement)

• Contribute to fostering a positive team culture by identifying opportunities to enhance work methods and build positive work relationships

• Proactively identify and address challenges or issues before they escalate

• Providing billing support using Grant Thornton’s systems and in accordance with the terms of the engagement contracts including preparing invoices to clients, as well as following up on AR when appropriate

• Follow up on action items and tasks to ensure completion

Document Management:

• Preparation of client engagement letters, master service agreements, and statements of work

• Prepare and proofread high-level correspondence, presentations, and reports

• Handle the sending and receiving of e-documents through various secure file transfer platforms

• Handle sensitive information with the utmost confidentiality and discretion

Communication and Liaison:

• Formatting and assembling electronic and/or paper client deliverables in compliance with Firm and departmental standards, ensuring a high level of attention to detail, proof reading, and ensuring timely delivery

• Proofread and edit reports and correspondence on behalf of Partners and Managers

Meeting and Calendar Coordination:

• Prepare meeting materials, agendas, and presentations

• Coordinate external/internal staff meetings, room bookings, meal/catering, technical equipment, and reports/documentation

• Coordinate and manage calendars, including scheduling meetings, appointments, and travel arrangements

• Prepare and maintain accurate expense reports

Administrative Support:

• Actively contribute to the wider Administrative Team, providing input towards proactive administrative advancements for the firm

• Coverage of reception and other duties in support of the larger team

• Cross-training with the admin team and supporting on client deliverables when needed

• Participating in training to stay current with changes in software and processes

Think you’ve got what it takes to be an Administrative Assistant, Audit? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:

• 3-5 years of administrative experience in a busy professional services environment; working with multiple projects and meeting (at times competing) tight deadlines

• Diploma or certificate in administrative assistant program considered an asset

• High degree of attention to detail and producing high quality work

• Demonstrated track record of working independently and collaboratively across various teams

• Strong initiative and eagerness to learn, with a continuous improvement mindset, and openness to feedback

• Embrace business etiquette with a customer-centric mindset; ability to maintain confidentiality and discretion

• Ability to balance multiple priorities, deadlines, and requests of multiple colleagues

• Strong organizational and office administration skills, project management an asset

• Solid business acumen, pragmatism, and problem-solving skills

• Excellent verbal and written communication skills; strong proofing and formatting skills

• Significant knowledge and experience working with MS Word, Excel and PowerPoint

• Experience with CRM tool would be an asset

• Must be willing to work overtime periodically (typically Feb – May)
