Job Overview
We are currently seeking a detail-oriented and proactive individual to join our team as a Support-Centric Office Staff focused on Materials Coordination. In this role, you will play a critical part in facilitating the seamless movement of materials between various departments, the sales team, production, and online sales shipping requirements. The ideal candidate must possess excellent organizational skills, effective communication abilities, and a keen eye for ensuring the timely and efficient flow of materials throughout the organization.
KEY RESPONSIBILITIES
Operational Support
General operational support to increase the effectiveness and efficiency of our Sales Operations and the rest of the team
Assist in the administrative coordination of product activation
Administrative support on our GPS platform
Responsible for ensuring SIM has data and load
Ensure E-commerce orders are well documented and dispatched on time
Collaborate with the production team to prioritize and expedite the manufacturing of materials based on demand
Online Sales Shipping
Coordinate with the online sales team to fulfill shipping requirements for customer orders
Manage the packaging and dispatch process, ensuring accuracy and adherence to delivery timeliness
Product Knowledge
Maintain a comprehensive understanding of the products
Stay updated on product details
Assist Sales group on material preparation
Coordinate with logistics and warehouse teams to ensure accurate and timely order fulfillment
Verify orders and ensure there are no duplicate orders
Ensure items are prepared in a timely manner to ensure smooth delivery
Quality Assurance
Conduct regular reviews of customer interactions to ensure adherence to quality standards
Identify areas for improvement in customer support processes and provide feedback for continuous enhancement
Documentation and Reporting
Maintain detailed records of customer interactions and resolutions
Generate reports on customer service metrics, highlighting trends and areas for improvement
Ensure all orders are well documented
Qualifications
High school diploma, vocational or equivalent; additional education or relevant certification is a plus
Proven experience in customer support
Strong communication skills, both written and verbal
Problem-solving abilities and a customer-centric mindset
Ability to handle multiple tasks and prioritize effectively
Proficiency in using customer support tools and systems
Computer literate
