Scope of Position:

The Graduate Program Assistant, a member of the Academic Affairs team, is responsible for providing direct administrative assistance support for two College of Nursing Assistant Deans and administrative support for graduate courses, academic programs, committees, and assisting with maintaining documentation and databases.

Job Description:

This position performs administrative duties of a responsible, sensitive and confidential nature requiring considerable independence of action. Maintains calendar appointments requiring independent decision making in coordination of the Assistant Dean’s daily activities; makes travel arrangements and reimbursements using Workday for a variety of national and international meetings for faculty teaching for the College of Nursing; serves as the main contact for program support for graduate committees by setting up meetings, taking minutes, preparing agendas, etc.; prepares various academic reports; plans special events and coordinates catering orders, program set up, and location selection; prepares and administers program surveys and evaluations; establishes and maintains programmatic databases; works on accreditations and special projects as assigned; coordinates onboarding schedules for graduate faculty. Administers operational activities for the graduate academic programs within the College of Nursing, which includes operational support for faculty, textbook ordering and syllabi collection and review, and authorizes payments for related supplies, materials and facilities.

Additional Information:

Minimum Education Required, degree level and focus area (based on Career Band and Level Guide):

HS Diploma or GED; certification or vocational training preferred.

Minimum Years of Experience Required (based on Career Band and Level Guide):

2 years of relevant experience; 4-6 years preferred. Experience in an administrative capacity required; experience in program planning and administration required.

Desired Qualifications:

Knowledge of university policies, procedures, rules and regulations desired; expertise using Excel, Qualtrics and Workday desired; experience in event planning and organization of program materials desired.
