We are currently looking for a Training Administrative Assistant at our location in Mississauga, Ontario on a 6-month contract.

JOB OVERVIEW

The Training Administrative Assistant reports directly to the Manager, Training. Providing support to theTraining Department in all areas related to employee training, scheduling, and customer service. The Training Administrative Assistant will work autonomously and assist the Training Department with duties such as file management, auditing, tracking of training results, tracking of certification requirements and reviewing Company and Client policies, while providing prompt resolution of all training inquires.

TASKS AND DUTIES:

Provides administrative and analytical support to the Training team, in regards to file management and tracking of employee records

Works closely with staff and employees for continuous improvement in training within the organization

Tracks upcoming expiries for RAICs, CATSA Medicals and other certification requirements.

Provides additional assistance in the negotiation of collective agreements on behalf of employers or workers, mediate labour disputes and grievances and provide advice on employee and labour relations when needed

Processes documentation, prepares reports and maintains records related to personnel activities related to training such as grievances, performance reviews, and qualifications tracking report

Provides administrative support to all members within the Training department by scheduling meetings/appointments, preparing documents, capturing minutes, events or other information

Assists in planning, developing, implementing and evaluating employee development strategies including training manuals, bulletin updates, policies, programs and procedures to address an organization's training requirements

Performs file audits to ensure that all required employee documentation is collected and maintained

Provides administrative support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies

Other duties as assigned

REQUIREMENTS:

A University degree or College diploma from a recognized post-secondary institution in Human Resources, Business Administration, Industrial Relations or related program is an asset

Proven customer service and people-oriented skills; ability to deal with diverse backgrounds, experience and styles

Strong problem-solving, decision-making, detail oriented and organizational skills

Exceptional ability to maintain a high degree of confidentiality and discretion, exercise tact and diplomacy, and exhibit good judgement. Able to work independently with minimum supervision

Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions; ability to prioritize work, multi-task and meet deadlines

Knowledge of current legislation, including the Canada Labour Code, Ontario Human Rights Code and Occupational Health and Safety Act Minimum of one year experience in client-focused, results-oriented HR environment with intermediate knowledge of Microsoft Excel, Microsoft Word, PowerPoint, Outlook

Flexibility to work evenings, weekends and holidays when needed
